Job DescriptionOffice Manager (Temp-to-Perm) Location: Merrick, NY Hourly Rate: $28/hour Schedule: Monday-Friday, 9:00 AM-5:00 PM Occasional Saturdays and evening hours as needed Position Summary We are seeking an experienced Office Manager for a temp-to-perm opportunity supporting a busy clinical office in Merrick, NY. Reporting to senior operations leadership, this role is responsible for overseeing day-to-day administrative operations, ensuring efficient clinic workflow, supervising front office staff, and maintaining compliance with all regulatory and organizational requirements. This is a hands-on leadership role ideal for someone who thrives in a fast-paced, service-oriented environment. Essential Responsibilities • Oversee daily administrative operations to ensure the smooth and efficient functioning of the office, • Develop, maintain, and implement office policies, procedures, and workflows, • Manage client intake, scheduling, and front desk operations, • Implement and monitor systems to ensure an organized, efficient reception area, • Ensure referrals are processed accurately and entered timely into the electronic medical record (EMR) system, • Manage insurance processes including verification, referral tracking, copay collection, documentation follow-up, and client status monitoring, • Oversee billing processes, ensuring treatment notes are accurate, complete, and submitted in a timely manner, • Maintain accurate client records within the electronic health record system, • Ensure compliance with all regulatory requirements, agency policies, and confidentiality standards, • Act as point of contact with program and clinical staff to ensure scheduling authorizations and operational needs are met, • Serve as project manager for special initiatives, including planning, coordinating meetings, and supporting office-wide projects or events, • Handle confidential and sensitive information with discretion and professionalism, • Process payroll through the ADP system for assigned staff, ensuring accuracy of hours and allocations, • Compile and submit monthly operational and clinic reports to senior leadership, • Order and maintain office supply inventory, • Manage storage and maintenance of archived clinical records, including coordination with Iron Mountain, • Provide front desk and reception coverage as needed, • Support senior management and clinical staff with additional administrative projects as requiredSupervisory Responsibilities, • Directly supervise and support Administrative Assistant and front office staff, • Train, mentor, and develop staff to enhance skills and performance, • Communicate and enforce agency and program policies and procedures, • Manage employee performance, providing ongoing feedback and coaching, • Conduct performance evaluations and implement development plans, • Ensure staff are properly trained to meet regulatory, agency, and program standards, • Ensure adequate staffing coverage to meet operational needsQualifications, • Minimum of three (3) years of experience as an Office Manager, preferably within a medical or clinical setting, • Strong knowledge of office operations, scheduling, insurance, and billing processes, • Experience with EMR systems and ADP payroll preferred, • Bilingual in Spanish preferred, but not required, • Proven leadership and staff supervision experience, • Excellent organizational, communication, and problem-solving skills, • Ability to manage multiple priorities while maintaining attention to detail, • Professional, discreet, and customer-service orientedPay Details: $28.00 per hour Search managed by: Clare Rant Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
