Job DescriptionJob Summary LHH is seeking a highly organized and detail-oriented Legal Assistant to support attorneys within an Insurance Defense practice group. The ideal candidate will have experience handling litigation workflows, managing case files, and supporting defense counsel through all phases of the litigation process. This role requires strong communication skills, excellent time management, and the ability to thrive in a fast-paced legal environment. Key Responsibilities • Manage attorney calendars, hearings, deadlines, depositions, mediations, and client meetings., • Assist with the preparation, formatting, and finalization of legal documents including answers, motions, discovery requests/responses, notices, subpoenas, correspondence, and trial materials., • Coordinate e-filing through Florida's e-Portal and federal PACER/ECF systems., • Maintain and organize physical and electronic case files, ensuring all documents are stored accurately and in compliance with firm/industry standards., • Monitor case progress, track litigation deadlines, and ensure all required actions are completed in a timely manner., • Prepare and issue subpoenas for records, schedule witness depositions, and manage communications with expert witnesses, court reporters, and vendors., • Review, organize, and summarize medical, billing, and claim records relevant to insurance defense matters (e.g., BI, PIP, premises liability, property claims, general liability)., • Assist attorneys with document production and discovery compliance., • Serve as a professional point of contact for clients, insurance carriers, opposing counsel, and third-party vendors., • Draft routine correspondence, provide case updates to carriers, and assist with billing narratives and time entry based on client guidelines., • Maintain confidentiality and professionalism in all communications., • Assist attorneys with preparing trial binders, exhibit lists, witness lists, deposition summaries, demonstratives, and courtroom logistics., • Coordinate trial subpoenas, travel schedules, and document readiness for hearings and trial.Required Qualifications, • 2-5+ years of experience as a Legal Assistant in insurance defense, civil litigation, or personal injury defense., • Strong knowledge of Florida state and federal court procedures, rules, and e-filing systems., • Proficiency in Microsoft Office (Word, Outlook, Excel) and document management software (NetDocs, iManage, or similar)., • Ability to draft, proofread, and format legal documents with accuracy., • Excellent organizational skills with the ability to manage multiple priorities and tight deadlines., • Strong written and verbal communication skills., • Ability to work independently and collaboratively in a team-based environment.Preferred Qualifications, • Experience supporting multiple attorneys in a defense-side litigation group., • Familiarity with insurance carrier billing guidelines and time-entry systems (e.g., Aderant, Elite)., • Knowledge of medical terminology and records review., • Notary Public (or willingness to obtain).Benefits: Depending on the specific client, location, and role, the benefits may include PTO, medical, dental, vision, term life and AD&D insurance, short-term disability and long-term disability, additional voluntary benefits, EAP program, commuter benefits, wellness plans, and a 401k plan or a non-qualified deferred compensation plan.
