Job Description Responsibilities * Scheduling & Coordination * Coordinate, assign, and manage patient visits by matching clinicians based on patient needs, location, and clinician availability. * Maintain and update the master scheduling system daily to ensure accurate and timely assignments. * Proactively manage schedule changes, cancellations, and last-minute staffing adjustments to ensure continuity of patient care. * Staffing Management * Serve as the main liaison between clinical staff, patients, and management regarding schedules and assignments. * Monitor clinician workloads and ensure equitable distribution of patient visits. * Assist with onboarding new clinicians into the scheduling system and orient them on scheduling workflows. * Communication & Coordination * Act as the primary point of contact for incoming calls regarding scheduling, staffing, and visit confirmations. * Communicate clearly and promptly with field clinicians, office staff, and patients regarding schedule changes and updates. * Work closely with the Director of Nursing to ensure patient care plans are supported with the appropriate staff. * Documentation & Reporting * Accurately document all scheduling changes, assignments, and staff communications in the EMR system. * Track visit completions, pending tasks, and compliance requirements for staff scheduling. * Prepare weekly reports on staffing coverage, scheduling efficiency, and open visit gaps. * Problem-Solving * Quickly address and resolve conflicts, staffing shortages, and patient-related scheduling concerns. * Collaborate with management to develop solutions to reduce missed visits and improve scheduling efficiency.
