What the DMV Services Coordinator Does The DMV Services Coordinator is responsible for executing all vehicle-related documentation and compliance processes for APAA. This role ensures that vehicle titles, registrations, tags, and related paperwork are prepared, processed, and maintained accurately and in full compliance with Alaska State DMV regulations and applicable federal laws. The position also supports vehicle inspections, listing accuracy, appointment coordination, and customer service related to DMV transactions. Key Responsibilities Include • Prepare, review, and submit all DMV-related paperwork, including title transfers, registrations, duplicate title applications, lien releases, and temporary tags, in compliance with Alaska State DMV requirements., • Conduct replacement title processing, vehicle appraisals, and DMV inspections for seized vehicles, including completion of Level 2 DMV tasks once eligible and trained., • Verify ownership documentation for all vehicles received and sold through auctions, including VIN validation, title status, and lienholder confirmation., • Maintain accurate, organized physical and electronic records of all vehicle documentation for audit, compliance, and retention purposes., • Track pending title work and follow up with customers, lienholders, and internal departments to resolve missing or incomplete documentation., • Respond to DMV-related inquiries from clients, vendors, and internal staff in a timely, professional, and solution-focused manner., • Coordinate with the Vehicle & Equipment Manager to ensure all vehicles meet documentation and legal requirements before auction, transfer, or release., • Communicate with the State of Alaska DMV regarding escalations, exceptions, or complex title issues., • Notarize vehicle-related legal documents, including Powers of Attorney, affidavits, and lien releases, in accordance with Alaska law., • Maintain current working knowledge of DMV regulations impacting titling, registration, vehicle transfers, and auction sales., • Manage inventory and secure storage of DMV-issued materials (temporary tags, decals, plates), including usage tracking, discrepancy reporting, and timely reordering., • Build, proof, and verify vehicle listings within auction platforms to ensure accuracy and completeness., • Manage appointment scheduling and support walk-in DMV clients as operationally required., • Follow up on AKPM sales leads and assist with coordination and administrative support of sales efforts., • Perform additional duties and special projects as assigned in support of APAA operations. Supervisory Responsibilities This position does not have supervisory responsibilities. Knowledge, Skills & Abilities • Working knowledge of Alaska DMV laws, policies, and procedures related to titling and registration., • Exceptional attention to detail and accuracy in data entry and recordkeeping., • Strong verbal and written communication skills., • Ability to prioritize multiple deadlines in a fast-paced environment., • Strong problem-solving skills and sound judgment when handling exceptions., • Dependable attendance and punctuality., • Positive, supportive, solution-oriented work style. Minimum Qualifications • High school diploma or GED required., • One (1) year of experience in title work, DMV processing, or vehicle documentation preferred., • Level 1 DMV training provided; Level 2 training upon eligibility., • Familiarity with Alaska DMV forms and procedures; auction or automotive experience is a plus., • Valid Alaska Drivers License., • Ability to pass fingerprinting, background, and reference checks., • Ability to obtain and maintain Notary Public status in the State of Alaska. Working Conditions & Schedule This position operates in a fast-paced administrative and client-facing environment requiring consistent attendance, adaptability, and attention to detail. Some work may occur indoors and outdoors, depending on vehicle inspections and client needs. Occasional overtime may be required.
