SUMMARY Under the direction of the Director of Compliance, the Quality Assurance (QA) Specialist serves as an independent and objective reviewer to ensure JFSWNY meets all contractual, regulatory, grant, Medicaid, and funder compliance obligations. This role provides agency-wide oversight of program operations, documentation standards, billing practices, and reporting requirements. Within the agency’s NYS OMH-licensed mental health clinic, the QA Specialist monitors adherence to OMH regulations, Medicaid requirements, and managed care standards while maintaining a broader agency-wide compliance focus. This position requires access to highly confidential client, financial, personnel, and board-level information. Maintaining strict confidentiality and professional integrity is essential. RESPONSIBILITIES & DUTIES A representative summary of tasks to be performed is provided below. The duties and responsibilities of the position are to be carried out in a manner that is consistent with the mission, values, and operating principles of Jewish Family Services. Contract & Grant Compliance: • Review agency contracts and grant agreements to ensure compliance., • Develop tracking systems for deliverables and reporting deadlines., • Conduct internal reviews to confirm alignment with funder expectations., • Monitor compliance within the NYS OMH-licensed clinic., • Audit clinical documentation for regulatory standards., • Review Medicaid and managed care billing practices., • Pull and review random client files for completeness and compliance., • Maintain audit logs and compliance reports., • Prepare compliance summaries for senior leadership and Board committees., • Maintain strict confidentiality of client, financial, and board information., • Bachelor’s degree required (related field preferred)., • 2–4 years of compliance, QA, or auditing experience in human services or healthcare., • Experience with Medicaid-funded programs required., • Familiarity with NYS OMH regulations strongly preferred., • Strong analytical and communication skills., • Judgment and Decision Making - Considers relative pros and cons of potential actions to choose the most appropriate one., • Time Management – Uses time effectively and efficiently; values time; concentrates efforts on the more important priorities; gets more done efficiently and effectively., • Adaptability & Flexibility - Adapts to changing business needs, conditions, and work responsibilities, • Client Focus - Understands and meets customer needs, whether internal or external, providing a high level of service and cooperation courteousness & sensitivity), • Will work in the office and in the community; able to travel outside the office to various sites to attend meetings and provide support services., • Must have access to a reliable vehicle, possess a valid, clean NYS driver’s license and be sufficiently self-insured with liability insurance in the amount of $100,000/$300,000., • Physical activities and efforts required working in the upkeep of building., • Must be able to lift up to 25 lbs. a t times, to access and navigate all areas of the facilities., • Visual acuity sufficient to maintain system of files and reports containing computer-generated and handwritten documents., • Auditory acuity sufficient to communicate with staff, vendors, and others by phone and in person., • Competitive Salary of $53,000 to $56,000 annually, commensurate with experience and qualification., • Health, Dental, and Vision Insurance, • Accrued Paid Time Off (PTO) of 4+ weeks, • 401k plan with agency contribution of 4%, • 13+ observed holidays annually, • Early close on Fridays
