Job Description We are a full-service Pet Care company operating several daycare and grooming locations across New York City. We are growing and seek highly motivated, reliable and experienced Facility Managers to join our awesome team of dog lovers! You will be expected to provide exceptional care to all animals under our supervision, while also ensuring an excellent customer experience. Administration and Scheduling (35%) * Serve as the on-site authority for the facility’s daily operations during work hours. * Manage our online client system, Paw Partner, to ensure that it is functioning correctly, that clients are able to request the proper services, and that clients are being properly billed for the services they request. * Enroll new clients in Paw Partner, ensure that clients complete their registration providing/uploading all required information (ie. vaccination records, billing). * Maintain the daily daycare calendar to ensure that dogs are being picked-up and dropped-off as scheduled. * Schedule Grooming appointments * Ensure that appropriate staffing is always in place to meet the demands of the daycare. * Ensure that everyone on the team’s wearing their TMAB uniform. POSITION OVERVIEW The Operations Supervisor provides overall supervision and support in the program elements to ensure the timely execution of facility schedule, safety, and client living/services. Provide supervision of Operation Aide staff. The Operations Supervisor position requires an individual who consistently works to improve the activities of daily living skills of clients, ensures the residential program is running as well as it possibly can, ensures services meet the expectations and needs of the clients and staff, and maintains the program supply inventory (client needs and client cleaning supplies). This individual is responsible for the oversight and implementation of systems and allocation of resources for the purpose of updating and maintaining the operational functions of the program, to the highest standards. KEY ESSENTIAL FUNCTIONS • Supervise Operations Aides and has authority to hire, promote, discipline, and terminate employees., • Participate in the ongoing review and annual evaluation of staff performance; including completion of annual talent reviews., • Conduct routine supervision of staff and ensure proper documentation reflected for all meetings., • Coordinate and verify client movement with operations aides and counseling staff., • Ensure clients participate in chores. Work with operations aides to provide client community assignments., • Document status of facility in the communication logbook and through the monthly facility inspection process., • Monitor client conduct and overall behaviors during their shift., • Coordinate with admissions and program director for client room changes, group room assignments, and community space activities., • Assist with conducting searches for contraband or unapproved items, according to the established organizational policy., • Conduct and maintain inventory of supplies including but not limited to, linen, toiletries, clothing, etc., • Assist with new client orientation to the facility., • Coordinate client community assignments, including assigning chores and working with floor captains., • Assist with rounds on a regular basis to assess clients behavior and ensure their ongoing safety, and the cleanliness of the facility. Report any room needs to the facilities manager though a work order., • Participate in weekly House Meetings with the clients to discuss and address any needs or issues., • Participate in various meetings (daily huddle, case conferences, multidisciplinary team meeting)., • Develop coverage schedule and ensure coverage is obtained for all operations shifts., • Work alongside the facilities team to address any concerns with client rooms or common spaces., • Ensure all incidents are reported upon discovery, following the incident reporting policy and protocols., • Assist the Program Director to address and investigate client and staff complaints, • Identify training needs, professional development, and assist the Program Director to organize onsite and offsite training opportunities for professional development of Operations Aides., • Develop and implement crisis prevention and/or intervention strategies to ensure a safe and secure environment, • Troubleshoot client and direct reporting staff program problems, and make decisions in accordance with program policies, procedures, and protocols, • Provide assistance and follow-up in regards to critical incidents with clients, • Ensure the following is in compliance according to established protocols: facility inspections, emergency drills, etc., • High School Diploma required., • Bachelor’s Degree preferred., • Minimum of Five (5) years’ experience in OASAS program. Experienced in Residential settings preferred., • Minimum of Five (5) years’ experience in managerial positions, • Obtain within six months of hire:, • Supporting Recovery with Medications Addictions Treatment (MAT), • Obtain within thirty days of hire:, • Screening, Brief Intervention and Referral to Treatment, • CASAC Canon of Ethics (6 hours), • Confidentiality related to 42CFR (3 Hours), • Strong leadership and excellent organizational and communication skills, • Experience in staff training and development, • An understanding of funding and industry regulations and a track record of meeting compliance standards, • Ability to work with a strong team of professionals and in a culturally diverse environment, • Ability to multitask and to work and function under pressure Acacia Network provides a comprehensive and competitive benefits package to our employees. We are looking for both residential staff who will live on-campus, as well as staff who can reliably commute. Your key tasks will consist of, but not be limited to: Student Supervision: • Act in loco parentis to ensure and maintain student discipline, welfare, safety, and security at all times., • Ensure that students adhere to the YES USA Student Code of Conduct., • Inform management immediately of any issues Off-Campus Excursions • Attend and actively participate in all staff meetings and professional development workshops when arranged., • Prepare for off-site excursions (study and memorize cultural and historical information, check and study directions to excursion sites, etc.)., • Provide information and share stories with students/chaperones about cultural and historical places visited in a fun and engaging way., • Actively supervise, interact with, and entertain students and chaperones to ensure their satisfaction., • Follow the itinerary but be ready to think on your feet and successfully manage emerging situations., • Provide receipts from excursion vendors or cafes/restaurants after each excursion, if applicable., • Assist at any time, whether on duty or not, with emergencies., • Manage any problems or incidents and report them to the management team.
