SUMMARY Is responsible for assisting the Building Services Director, coordinating, developing and supervising all program components for Facilities Management and Building Services departments located in Staten Island and Brooklyn. This includes the direct supervision of management staff, maintenance of agency facilities, overseeing repairs and upgrades being performed by outside contractors, cleaning of agency grounds and facilities, compliance with all applicable regulations, division development and expansion. Has the authority to exercise independent judgment within the framework of established policies and procedures that influence operations. ESSENTIAL DUTIES AND RESPONSIBILITIES The duties and responsibilities of the Assistant Director of Building Services will include, but are not limited to the following: • Recruits, orients, trains, appraises, supervises and recommends discipline, when necessary, of staff., • Suggests, coordinates and implements division goals., • Inspects agency sites and makes recommendations on repairs and upgrades of physical plant., • Places construction work for agency sites out for bid and ensures contractors adhere to terms contained in signed contract., • Manages agency fleet of vehicles., • Oversees contract work concerning maintenance and repair of building systems including HVAC, electrical, plumbing, carpentry, fire alarm systems and fire suppression systems., • Ensures agency sites are following NYC Building codes, OSHA, EPA regulations regarding hazardous waste disposal and ensures any conditions causing violations are corrected promptly., • Inspects agency facilities on a regular basis to ensure they are being properly maintained and kept clean., • Provides oversight of staff and facilities., • Completes special projects as requested., • Takes appropriate measures including periodic area assessments and observations of practices, materials, equipment and environment and provides staff with safety training to ensure that his/her employees are provided with the safest and healthiest workplace possible., • Keeps abreast of changes in field., • Oversees the upkeep of agency grounds and ensures staff effectively removes snow from same., • Performs necessary paperwork as requested., • Performs other related duties as requested. Job Description We are a full-service Pet Care company operating several daycare and grooming locations across New York City. We are growing and seek highly motivated, reliable and experienced Facility Managers to join our awesome team of dog lovers! You will be expected to provide exceptional care to all animals under our supervision, while also ensuring an excellent customer experience. Administration and Scheduling (35%) * Serve as the on-site authority for the facility’s daily operations during work hours. * Manage our online client system, Paw Partner, to ensure that it is functioning correctly, that clients are able to request the proper services, and that clients are being properly billed for the services they request. * Enroll new clients in Paw Partner, ensure that clients complete their registration providing/uploading all required information (ie. vaccination records, billing). * Maintain the daily daycare calendar to ensure that dogs are being picked-up and dropped-off as scheduled. * Schedule Grooming appointments * Ensure that appropriate staffing is always in place to meet the demands of the daycare. * Ensure that everyone on the team’s wearing their TMAB uniform. Staff Supervision, Training and Coordination (25%) * Supervise your team of Pet Care Specialists (PCS) to ensure that all daycare services are delivered in a way that meets company policies and exceeds customer expectations. * Oversee the training of new PCS, ensuring that they have the tools they need to provide excellent customer service and care for the dogs at our facility (see Facility Manager Manual). * Maintain the Policies and Procedures Manuals of the facility. * Respond to the teams’ and clients’ logistical and pet-related concerns during the day, and troubleshoot any issues that arise. Keeping inventory of distributed sanitary supplies and requesting more when needed; Repairing peeling paint, play equipment, furniture and other repairs on site as needed; Assisting in moving heavy items throughout the site. Ordering all necessary supplies for the site and keeping an inventory log., • Daily maintenance of site health and safety: Responsible for immediately repairing hazardous conditions on site, such as within the classroom and/or playground, replacing lights; contacting New York City Housing Authority, or management if needed depending on location. POSITION SUMMARY The Assistant Property Manager will play a crucial role in overseeing the comprehensive management of all building operations for approximately 1 million square feet of Class A office space. This role involves overseeing building staff, coordinating tenant services, and ensuring compliance with building policies and procedures. The Assistant Property Manager will also support the Property Manager in developing budgets, managing special projects, and maintaining property files and records. This position requires strong supervisory and administrative skills, a basic understanding of electrical and mechanical systems, and the ability to handle multiple tasks effectively.RESPONSIBILITIES • Establish and maintain procedures to properly administer all purchase orders processing, payroll administration, accounts payable, accounts receivable, and related correspondence, • Utilize working knowledge of all building accounting systems, accruals, and reclassification, • Assist Property Manager in developing annual budgets, quarterly reforecasts and monthly variances, including Operating, Tenant Improvement, and CapEx projects, • Provide knowledgeable of ownership’s policies and procedures and Union (32B-J, Local 94) Commercial Building Agreements, • Administer all special projects that are assigned by the Property Manager and Portfolio Manager, • Assist Property Manager in ongoing leasing program including review of leases for compliance, notification, updates, escalations, late charges, statements, and insurance compliance, • Assist in the coordination of tenant move-ins and outs and completion of associated paperwork, • Coordinate with Property Manager in the issuance of notices relating to tenants, security, janitorial, or project issues, • Oversee engineering and building staff, meet with the Chief Engineer and/or Superintendent on a daily basis to coordinate ongoing work and the building’s repair and maintenance program, • Direct the day-to-day operations of the security and cleaning contractors, • Schedule overtime and vacations to provide adequate coverage of building functions, • Ensure adequate and qualified replacements when absences or vacancies occur in the security and cleaning staffs, • Manage the operation of tenant service requests, ensuring timeliness of service calls and the proper dispatch of requests to building trades, • Assign and monitor maintenance and custodial tasks as called for by tenant or management request, • complete details to insurance carrier, • Maintain current required insurance certificates for contractors and vendors, • Assist Property Manager in contract bid process including preparation of RFP documents and bid evaluation, • Review and evaluate fire safety system permits to ensure compliance with applicable fire codes, • Oversee all required training including, but not limited to OSHA, Hazard Communication, Mold, Asbestos, Fire Safety, etc. on an as-needed basis and distributes relevant memorandums, • Analyze and oversee the maintenance of all building inspections and records, • Coordinate and advise of emergency trade responses with management and trades, • Perform daily inspections to ensure building standards are being adhered to and enforce in-house cleaning programs, cleaning contracts, and performance of routine maintenance tasks, • Inspect areas under construction daily, • Coordinate building service (i.e., freight, security, cleaning, engineering, fire watch) for after-hour construction, maintenance, tenant moves, and any other special projects, • Work with HR department on any disciplinary action, • Meet with tenants on a regular basis to ensure tenant
