All delivered with a 100% performance test passage rate. Summary Objective The Onboarding Specialist will be responsible for creating a positive and seamless experience for new hires. This role ensures that employees are well-integrated into Stellar Energy’s culture, operations, and safety practices from day one. Partnering closely with HR, Talent Acquisition, Manufacturing Leadership, and Training teams, the Onboarding Specialist will coordinate all pre-boarding and onboarding activities, ensuring compliance with company policies and regulatory requirements while supporting employee engagement and retention. Essential Functions • Administer and coordinate all pre-employment and onboarding administrative tasks, ensuring accuracy, timeliness, and compliance., • Prepare, generate, and distribute offer letters, new hire packets, and onboarding communications using approved templates., • Manage completion, verification, and filing of I-9s, E-Verify, background checks, drug screens, NDAs, and employment agreements., • Enter, update, and maintain new hire data in HRIS and onboarding systems, ensuring data integrity and audit readiness., • Coordinate start dates, orientation schedules, system access requests, badges, and equipment requests with HR, IT, Security, and site leadership., • Track onboarding task completion and follow up with new hires, managers, and internal partners to resolve missing or incomplete documentation., • Serve as a primary administrative point of contact for new hires regarding onboarding steps, paperwork status, and payroll-related inquiries, escalating issues as needed., • Maintain onboarding files, checklists, and trackers in accordance with company record retention and compliance requirements., • Generate routine onboarding reports and metrics (start dates, completion rates, compliance status) for HR leadership., • Support orientation sessions and onboarding events through scheduling, material preparation, attendance tracking, and documentation., • Identify process gaps, data inconsistencies, or delays and recommend administrative improvements to enhance efficiency and compliance., • Provide general HR administrative support related to onboarding, audits, and internal requests as assigned. Competencies • Strong administrative and organizational skills with exceptional attention to detail., • Ability to manage high-volume, deadline-driven tasks with accuracy and consistency., • Proficient in handling confidential employee data with discretion and professionalism., • Clear written and verbal communication skills, particularly for standardized employee communications., • Effective follow-through and ability to track multiple onboarding items simultaneously., • Comfortable working within established processes, checklists, and compliance requirements., • Collaborative and responsive when coordinating with HR, Operations, IT, and external vendors., • Adaptable and dependable in a fast-paced, manufacturing-focused environment., • Strong data entry and system navigation skills with minimal errors. Supervisory Responsibility This position does not have supervisory responsibilities. Work Location This position will be out of our Manufacturing Facility in Jacksonville, FL. Required travel to the corporate office as needed. Work Environment Most work is performed in an office environment. Physical Demands While performing the duties of this job, the employee is regularly required to sit. The employee frequently is required to walk; use hands to finger, handle or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stand. The employee must frequently lift or move objects up to 10 pounds and occasionally lift or move objects up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision and the ability to adjust focus. Position Type/Expected Hours of Work This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Travel None. Required Education and Experience. • Associate’s or bachelor’s degree in human resources, Business Administration, or a related field preferred; equivalent administrative HR experience will be considered., • Bilingual proficiency in English and Spanish is required, with demonstrated experience communicating employment-related information to a Spanish-speaking workforce., • 2+ years of experience in an HR Coordinator, Onboarding Coordinator, or administrative HR role, with a strong emphasis on paperwork, data entry, and compliance., • Hands-on experience processing new hire documentation, I-9s, background checks, and HRIS transactions., • Working knowledge of basic HR compliance requirements and employment documentation standards., • Proficiency in Microsoft Office (Outlook, Excel, Word) and HRIS/onboarding systems; experience with onboarding software, preferably ADP Workforce Now. Preferred Education and Experience • HR certification (PHR, SHRM-CP, or equivalent), • Experience supporting onboarding in a manufacturing, industrial, or multi-site environment.
