Brief Description: During his/her temporary period of intervention, the France and BeNeLux Events & Business Coordinator plays a key role in supporting the planning and execution of events and projects involving healthcare professionals from both regions, as well as coordinating internal events. This position encompasses comprehensive project management responsibilities, including: • Oversight of all event logistics, • Drafting and managing various types of agreements, • Coordination with external agencies The role also includes handling all administrative tasks related to the BeNeLux affiliate. To fulfil these responsibilities, the coordinator will work in close collaboration with cross-functional teams including Marketing, Medical, Commercial, Market Access, Governmental Affairs, Compliance, Legal, and Senior Management—contributing to Jazz’s mission of improving patients’ lives. Essential Functions/Responsibilities Event and Projects Management External Events & Projects Management • Support the planning and execution of events and initiatives involving French and BeNeLux healthcare professionals, including:, • International, national, and local congresses, • Jazz-initiated events (e.g., national days, medical meetings, promotional and in-hospital meetings), • Collaborative projects with hospitals or HCPs (e.g., medical databases, consulting agreements), • Draft and manage partnership agreements with HCOs, hospitals, and external vendors., • Prepare consultant, speaker, and hospitality agreements using standardized templates or tailored instructions., • Create purchase orders, coordinate payments, and monitor budgets., • Liaise with payroll to ensure accurate payslip creation and distribution for HCPs., • Manage invoicing for Dutch HCPs attending congresses., • Ensure all HCP and HCO spend are tracked in appropriate files or platforms, • Coordinate HCP invitations in collaboration with field teams., • Organize logistics for events including travel, accommodation, transfers, meals, meeting rooms, and registrations., • Oversee external agency relationships: briefing, pricing negotiations, and logistics coordination when needed, • Organize logistics for internal meetings and team events, including:, • Accommodation, transfers, catering, and lunches, • Dinners and team-building activities, • Lead the development and deployment of event apps for both internal and external use., • Ensure all legal and financial processes are completed in accordance with internal policies., • Submit declarations, authorization requests, and implementations to relevant French authorities (CNOM, ARS etc) via IDAHE and EPS platforms., • Ensure compliance with transparency obligations by publishing required declarations on the official government portal, • Review and approve Transfer of Value (ToV) files for BeNeLux, • Review and approve internal system requests before submission to authorities., • Coordinate with project managers to collect all required documentation within deadlines (e.g., signed contracts, hospital authorizations, approved agendas, attendance sheets), • Ensure all events and projects involving HCPs comply with French and BeNeLux regulations., • Respond to inquiries and complaints from HCPs regarding Transfer of Value declarations., • Maintain proper archiving of all signed contracts, hospitality agreements, incurred expenses, and submitted declarations., • Take part of ongoing compliance monitoring activities., • Oversee all aspects of facilities management for the BeNeLux region., • Act as the primary contact for the BeNeLux office phone line., • Ensure office rental operations, including vendor coordination, furniture orders, and invoice processing., • Manage incoming and outgoing mail and packages (e.g., Supply Chain QP mail, Belgian insurance correspondence, DHL, Chronopost), and draft related communications., • Track energy consumption for the BeNeLux affiliate., • Administer the company car fleet in line with corporate vehicle policy, including orders, deliveries, returns, lease payments, and monitoring of claims and violations., • Ensure material deliveries upon request from local teams or local HCPs., • Ensure annual membership payments (e.g., Pharma.be, InfoMedics)., • Manage annual agreements and payment follow-up with external consultants (e.g., compliance consultants)., • Monitor and manage the BeNeLux expense budget, including accrual submissions.
