About the Role At Harmony Fire, our work saves lives. As a Pre-Construction Administrator based out of our Liverpool Street Office, you will be at the heart of our projects – bringing organisation, clarity, and efficiency to the way we work. You will be the glue that holds the pre-construction team together, ensuring we deliver excellence from the very start of every project. This role is not for someone looking to coast through the day. We are seeking an A-Player – ambitious, highly organised, and passionate about creating order from complexity. Key Responsibilities • Provide essential support to the Pre-Construction Manager / Director, ensuring all administrative tasks are delivered effectively and on time, • Organise and book surveys, liaising with clients, residents, and surveyors to secure appointments and prepare all required documentation, • Attend and minute meetings, recording action points clearly and following up to ensure accountability, • Manage diaries, emails, and communications on behalf of the Pre-Construction Manager / Director where required, • Assist in developing project delivery strategies up to the start of construction, including design, scope, specification, and programme preparation, • Create and maintain accurate records in Salesforce and Simpro, including client details, sites, contracts, and trackers, • Support forecasting, consultancy invoicing, and revenue tracking to keep projects financially aligned, • Collaborate closely with the Delivery team and other departments to ensure seamless handovers and joined-up working, • Be proactive in identifying risks and mitigating them during the pre-construction phase, • Provide excellent customer service, building strong relationships and ensuring client expectations are met or exceeded What We’re Looking For • Superior organisational and prioritisation skills, with a do it right first time attitude, • Clear, confident communicator – both written and verbal, • Strong IT and administration skills, with experience using management systems such as Salesforce or similar, • Highly organised with the ability to manage multiple tasks and deadlines effectively, • A proactive, logical mindset – someone who anticipates needs, solves problems, and drives efficiency, • Passion for customer service, ensuring clients feel supported and valued at every step, • Ambitious, positive, and committed – someone who wants to grow their career, not just do a job, • A true team player who collaborates and supports colleagues across Pre-Construction and Delivery What We Look For in Our People At Harmony Fire, we live by our values: • Athlete’s Grit – we push ourselves and each other to be the best, • Captain’s Duty – we take ownership, act with integrity, and deliver on promises, • Fun Loving Heart – we celebrate success and enjoy the journey together By understanding and embodying these values, you will not only contribute to our company's success but also thrive personally and professionally.
