This is a varied and flexible role for someone who enjoys keeping things organised, coordinating people and schedules, and ensuring everything runs smoothly. Key Responsibilities Ace Aesthetics – Clinic Administration • Managing emails, enquiries and client communications., • Appointment bookings, client follow-ups and general administration., • Updating and managing our Phorest booking system., • Assisting with newsletters, promotions and client communications., • Maintaining organised records and following up on outstanding tasks., • Supporting the smooth day-to-day running of the clinic. Ace Vitality – Studio Coordination & Administration • Planning, updating and managing the weekly studio timetable., • Coordinating instructor schedules, availability and class cover., • Proactively identifying scheduling gaps and arranging replacement instructors when required., • Liaising with instructors regarding classes, timetable changes and upcoming events., • Managing Glofox bookings, class schedules and updates., • Monitoring class bookings and coordinating any necessary timetable adjustments., • Handling studio hire enquiries, bookings and communications., • Supporting workshops, collaborations and occasional events., • Helping ensure the studio operates smoothly and efficiently. General Business Support • Prioritising and managing administrative tasks across both businesses., • Keeping track of outstanding matters and ensuring tasks are completed., • Identifying ways to improve organisation and efficiency., • Providing regular, concise updates on progress and priorities., • Attending occasional meetings at our Richmond premises.
