Deputy Finance Manager | Southend | Mon-Fri 37 hours p/w | £33,635 - £37,035 \n The Role \n The Deputy Finance Manager will support the Head of Finance in the effective and accurate management of the organisation’s financial operations. \n Key objectives: \n\n • Maintain accurate accounting records on QuickBooks, up to trial balance.\n, • Take responsibility for the Equals department, including the administration of staff debit cards.\n, • Line manage and support two Accounts Assistants.\n, • Ensure financial processes and controls are followed consistently.\n, • Provide support and cover for the Head of Finance when required.\n, • Contribute to the efficient and effective delivery of the Finance function.\n\n Main Responsibilities \n Purchase Ledger & Supplier Management \n\n • Process purchase invoices accurately and efficiently.\n, • Obtain the appropriate approvals for purchase invoices.\n, • Deal with supplier queries and resolve issues promptly.\n, • Code and enter purchase invoices into QuickBooks, working closely with the Head of Finance.\n, • Complete purchase ledger reconciliations.\n, • Process supplier credits and ensure records are accurately maintained.\n, • Assist with weekly BACS payment runs.\n\n Banking & Cash Management \n\n • Complete daily and monthly reconciliations of all bank accounts.\n, • Maintain accurate records of cash balances.\n, • Support the Head of Finance with income administration.\n, • Process and bank cash and cheques on a weekly basis.\n, • Assist with the preparation and monitoring of weekly cashflow forecasts.\n\n Income & Service Charges \n\n • Liaise with Housing Income regarding service charges.\n, • Investigate and respond to finance-related queries.\n, • Ensure income is accurately recorded and reconciled.\n\n Equals & Staff Debit Cards \n\n • Take responsibility for the Equals department.\n, • Administer staff debit cards and associated transactions.\n, • Ensure transactions are appropriately authorised and recorded.\n, • Post Equals transactions accurately into QuickBooks.\n, • Monitor compliance with relevant financial policies and procedures.\n\n Financial Reporting & Accounting \n\n • Maintain accurate accounting records on QuickBooks through to trial balance.\n, • Prepare and post journals to the Profit & Loss account and Balance Sheet.\n, • Produce financial reports for non-finance staff.\n, • Extract and analyse financial information from QuickBooks.\n, • Use Microsoft Excel, including pivot tables and lookups, to present and analyse financial data.\n, • Ensure financial information is accurate, timely and accessible to relevant staff.\n\n Contract & Supplier Management \n\n • Monitor the contract tendering process.\n, • Support the management and administration of contracts with external suppliers.\n, • Ensure relevant financial and procurement procedures are followed.\n\n Team Leadership & Support \n\n • Provide day-to-day supervision and support to two Accounts Assistants.\n, • Allocate and monitor work as required.\n, • Provide guidance and support to Accounts Assistants.\n, • Ensure appropriate cover is provided during periods of absence.\n, • Promote effective teamwork and good communication within the Finance team.\n\n Audit & Compliance \n\n • Assist with internal and external audit queries.\n, • Provide financial information and supporting documentation as required.\n, • Ensure the organisation’s Finance Policies and procedures are followed and adhered to.\n, • Maintain appropriate financial controls and accurate financial records.\n, • Identify and raise any financial control issues with the Head of Finance.\n\n General Responsibilities \n\n • Provide cover for the Head of Finance when required.\n, • Work collaboratively with colleagues across the organisation.\n, • Undertake general and ad hoc finance duties as required.\n, • Maintain confidentiality and professional standards at all times.\n, • Support the continuous improvement of financial processes and procedures.\n\n Person Specification \n Qualifications \n Essential \n\n • Qualified or studying towards AAT Level 4, or an equivalent qualification.\n, • Alternatively, significant relevant experience (QBE) will be considered.\n\n Relevant Experience \n Essential \n\n • Experience of working independently and autonomously.\n, • Experience using QuickBooks, including producing and interpreting QuickBooks reports.\n, • Experience of maintaining effective financial controls.\n, • Desirable\n, • Knowledge and experience of working within the charity finance sector.\n, • Experience of working within a multi-property environment.\n\n Skills, Knowledge & Abilities \n Essential \n\n • Highly organised, with excellent attention to detail.\n, • Ability to work confidently and independently while also working cooperatively as part of a team.\n, • Strong financial and numerical skills.\n, • Good IT skills, including effective use of Microsoft Office, email, internet applications and database systems.\n, • Ability to analyse financial information and present it clearly to non-finance colleagues.\n, • Good
