JOB DESCRIPTION Manages customer orders from receipt of order, transportation and final delivery to handing off complete documentation for billing to maintaining customer file and recall records. · Obtain competitive freight rates from approved 3PLs and maintain spreadsheet of activity · Maintain a listing of freight invoices for each shipment with relevant information. · Prepare invoice packet: PO, Pack list, BOL for each shipment · Maintain a copy of Pack list in a date file Daily monitor and execute ecommerce websites such as Hardy Bev, Amazon, Faire, Cencora, & Walmart. Ensure sales sample requests are input and product selection is best quality, contains marketing materials, personal letter with documentation and maintain a listing. Follow up to ensure receipt and email to get feedback from recipient Update and maintain Hardy Beverage customer profile on all customer and online website portals. CSR will act as a liaison, provide product/services information and resolve any emerging problems that our customer accounts might face with accuracy and efficiency. Ensure raw materials and finished goods inventory accuracy on a FIFO basis to minimize overage. Our goal is to deliver excellent service by responding efficiently and effectively to customer inquiries and maintain high level of customer satisfaction. ESSENTIAL DUTIES AND RESPONSIBILITIES · Complete customer online registrations and profiles · Maintain accounting files (customer information, invoices, production reports) and answer the phone as needed · Receive customer orders, prepare shipping documents (BOL Pack List, Pallet Label) and manage EDI with customers through SPS commerce- Maintain files for each shipment · Maintain a file of all customers pertinent information such as addresses and phone numbers · Daily ensure Shopify, Faire, Walmart, Vitamin Shoppe, Cencora and other online sales documents are timely printed for operations team to fulfill · Prepare special samples for prospective customers to include introduction letter. Maintain a listing for follow up · Provide accounting documentation for customer billing (BOL, PO, Pack list) · Track open orders and communicate to operations if inventory shortages will occure · Schedule transportation for product shipment to customers. Maintain a tracking listing · Order raw materials as needed, track delivery date · Maintain finished goods and raw materials inventories using the software provided (in process). Inventory should adhere to FIFO (first in first out) · Other duties as assigned by HTWO REPORTING 1. Maintain a listing of all customer activity i.e orders, PO, concerns etc, 2. Date file of all shipping documents with lot numbers for recall purposes, 3. Daily Report with all orders shipped, Truck Driver freight activity to include details for billing, driver expenses and driver payment and tax payment, 4. Prepare daily production records with units produced, raw material used, waste and efficiency. Maintain all production document files MINIMUM EDUCATION AND PREFERRED QUALIFICATIONS 1. High School diploma; some college a plus, 2. Entrepreneurial Work Ethics; “can do attitude” and small business need for excellence to compete and survive, 3. Great computer skills; Microsoft Office and Klaviyo or Canva type software, 4. Minimum 5 years’ experience in customer service, logistics or bookkeeping., 5. Team player: ‘whatever it takes to win’, 6. Strong customer service skills., 7. Ability to multitask with strong coordinating and planning skills., 8. Attention to detail; we only have 1 opportunity to make a first impression. Mistakes are never forgotten, 9. Use critical thinking to solve complex problems. 10.The ability to communicate effectively both written and verbal with clients, vendors, and employees.
