PURPOSE OF THE JOB: The Payroll Specialist is responsible for the accurate and timely processing of payroll across multiple entities and locations within Today’s Dental Network. This role serves as a key operational resource supporting payroll administration, payroll compliance, reporting, reconciliations, audits, and payroll-related employee support within a fast-paced multi-site healthcare organization. The ideal candidate has strong payroll processing experience, exceptional attention to detail, experience working within HRIS/payroll systems, and the ability to manage high-volume payroll operations with accuracy and accountability. RESPONSIBILITIES: Payroll Administration • Process payroll accurately and timely for employees across multiple locations and entities, • Review and validate payroll data including employee status changes, compensation adjustments, deductions, garnishments, direct deposits, PTO balances, and payroll corrections, • Maintain payroll records and documentation in accordance with company policies and compliance requirements, • Assist with payroll audits, payroll reporting, reconciliations, and payroll balancing activities, • Support payroll tax activities including quarterly and year-end payroll processing, reconciliations, reporting, and related compliance functions, • Coordinate payroll-related file transmissions and reporting associated with 401(k) administration, • Support employment and wage verification requests in accordance with company procedures, • Research and resolve payroll discrepancies and employee payroll inquiries in a timely manner, • Partner with HR and Finance teams regarding payroll-related employee data updates and processing workflows, • Support continuous improvement initiatives related to payroll processes, reporting accuracy, and operational efficiency Systems & Compliance • Maintain accurate payroll system data and support payroll-related HRIS updates, • Assist with payroll system testing, reporting validation, and process improvements, • Support compliance with federal, state, and local payroll regulations and company payroll policies, • Maintain confidentiality and security of payroll and employee information at all times Benefits & Operational Support • Support payroll-related benefits deductions and related processing activities, • Assist with open enrollment processing, payroll deductions, and qualifying life event updates, • Support ACA-related payroll reporting and eligibility tracking activities, • Coordinate with vendors and internal teams regarding payroll-related benefits processing issues, • Support open enrollment coordination activities including employee communications, system updates, and enrollment processing, • Provide operational support for leave tracking and payroll coordination related to employee leaves of absence, • MINIMUM REQUIREMENTS, • Support leave administration coordination including FMLA, ADA, leave tracking, compliance documentation, and employee leave communications in partnership with HR Operations and HR leadership, • Assist with benefits audits, reporting, and operational support activities related to employee benefits programs, • Support ACA administration and reporting activities including eligibility tracking, employee measurement monitoring, reporting coordination, and related compliance support HR Operations & Collaboration • Collaborate closely with HR Operations to support employee lifecycle processes, compliance activities, and operational workflows, • Support payroll and benefits-related reporting, audits, and data accuracy initiatives, • Maintain confidentiality of employee payroll, benefits, and personnel information, • Demonstrate a hands-on and collaborative approach to supporting payroll, benefits, and HR operational initiatives within a growing organization MINIMUM REQUIREMENTS: • High school diploma required; Associate’s or Bachelor’s degree preferred, • 5+ years of payroll administration experience required, • Experience processing multi-site and/or multi-entity payroll preferred, • Experience supporting payroll audits, reconciliations, quarterly processing, and year-end payroll activities, • Strong understanding of payroll compliance, payroll taxes, garnishments, deductions, and wage/hour practices, • Experience using payroll systems, HRIS platforms, and Microsoft Office applications, • Strong Excel, organizational, analytical, and problem-solving skills, • High attention to detail and ability to manage sensitive and confidential information with professionalism and discretion, • Strong communication and customer service skills, • Experience within healthcare, dental, or other multi-location organizations preferred NICE TO HAVES: • UKG Ready experience, • Experience processing payroll within healthcare or dental organizations, • Experience supporting payroll reporting and payroll process improvements, • Experience working within fast-paced or high-growth organizations, • Exposure to benefits administration or leave coordination processes, • Experience supporting acquisitions, onboarding transitions, or multi-entity operational environments BENEFITS: • Flexible working arrangement, • Medical Insurance with optional Health Savings Account with Employer Seed., • Dental Insurance, • Vision Insurance, • Life Insurance, • 401(k) with portion of Co Match., • Paid Holidays, • Accident Insurance, • Critical Illness Insurance, • Hospital Indemnity Insurance, • Pet Insurance, • LegaLease, • Identity Theft, • Employee Assistance Program (EAP) SALARY RANGE: $80,000 - $90,000 annually
