Job Description The Landscape and Project Coordinator will serve as a key liaison between the Operations Manager and landscape contractors, ensuring the effective coordination, prioritization, and completion of landscape maintenance and improvement projects. This role is responsible for managing work orders and service tickets, monitoring contractor performance, tracking project status, and supporting the overall upkeep of common areas. The Coordinator provides oversight of irrigation systems, landscape health, and vendor invoicing while supporting daily inspections, project planning, and operational needs. Success in this role requires strong organizational skills, the ability to read landscape and irrigation plans, and a working knowledge of landscape maintenance, tree care, and irrigation systems to ensure work is completed safely, efficiently, and to quality standards. RESPONSIBILITIES • Being the point of contact between Operations Manager and the Contractors., • Prioritizing and assigning work orders and Daybreak Direct tickets for the landscape contractors to complete., • Monitor Daybreak Direct to make sure that issues are addressed and coordinate effectively with contractors., • Maintaining an updated list and status on all Projects and updating Communications team weekly., • Complete assigned projects with efficiency, safety and quality., • Assist Operations Manager with oversight of contractor work for the Daybreak Common areas., • Oversee WeatherTrak clocks and coordinate the repairs/adjustments to irrigation systems with contractors. Identify issues in the landscape such as broken irrigation heads, solenoids and provide solutions to the problems found., • Complete all necessary WeatherTrak certifications and report with daily monitoring., • Support daily upkeep of the common areas and facilities with supplemental site inspections., • Verify and process invoices in IPS daily, specifically reviewing those related to Operations and Maintenance projects for manager approval., • Coordinate with contractors to address tree and pest issues, such as yellow lawn areas and unhealthy-looking vegetation., • Plan and organize landscape maintenance projects such as mulch, tree pruning, irrigation repairs, and plant installs., • Participate in landscape walks/turnover, • 2–3 years of experience in landscape maintenance, landscape coordination, facilities operations, or a related field, preferably in a residential, commercial, or community-based environment., • Chemical and tree care experience is a plus. Must be able to diagnose diseases and problems such as Anthracnose, Iron deficiency and Lilac ash borer., • Experience coordinating and supporting landscape or maintenance contractors, including assigning work, tracking progress, and following up to ensure completion and quality standards., • Working knowledge of irrigation systems and landscape maintenance practices; experience with smart irrigation controllers such as WeatherTrak is preferred., • Experience using work order or service request systems to prioritize, monitor, and document maintenance and landscape activities., • Experience assisting with or coordinating landscape projects such as irrigation repairs, tree pruning, mulch installation, plant replacements, and pest or tree-health treatments., • Ability to conduct site inspections, identify landscape or irrigation issues, and recommend corrective actions to the Operations Manager or contractors., • Experience reviewing, verifying, and processing invoices related to landscape, operations, or maintenance projects., • Ability to read and interpret landscape plans, irrigation drawings, and project specifications. The physical requirements can vary, but generally, they may include: • Lifting: Ability to lift and carry up to 20 pounds occasionally, with or without reasonable accommodation., • Mobility: Ability to walk, stand, and move throughout office spaces and common areas. Ability to occasionally navigate outdoor areas and uneven terrain during site inspections., • Working Conditions: Primarily office-based with periodic outdoor site visits. May be exposed to varying weather conditions during inspections, including heat, cold, wind, or rain. Occasional exposure to noise, landscaping equipment, and active work areas during site visits., • Personal Protective Gear: Ability to wear required personal protective equipment (PPE), such as safety vests, gloves, eye protection, or protective footwear, when visiting active work sites., • Extended Sitting or Standing: Ability to sit for extended periods while performing computer-based and administrative work. Ability to stand or walk for moderate periods during meetings, inspections, or landscape walks., • Manual Dexterity: Ability to use hands and fingers for keyboarding, data entry, phone use, and operation of standard office equipment.
