Job Title: Project Administrator Reports To: Project teams, Director of Construction, and Principals Russell Murfey and Scott Murfey FLSA Status: Exempt General Summary: Murfey Company, Inc. is seeking an experienced Project Administrator to provide administrative support to project teams and the Director of Construction throughout all phases of construction. The ideal candidate is detail-oriented, organized, and comfortable operating in a fast-paced, construction environment. ESSENTIAL DUTIES AND RESPONSIBILITIES: PROJECT ADMINISTRATION • Preparation of critical and/or confidential information., • Save/order plans., • In-depth knowledge of reading plans., • Set up job walks., • Create bid binders., • Request subcontractor bids., • Revise in house bids., • Catalogue sub response/bid., • Create project proposals/Estimates, • Create job folders., • Meeting agendas/take meeting minutes., • Attend client meetings and assist with determination of project requirements., • Filling out subcontracts for owner approval and execution., • Issue subcontracts/owner change orders/sub change orders., • Track and manage completed change notices and change orders., • Submittals, including tracking logs., • Catalogue RFI’s and responses., • Enter and manage budget in software., • Review invoices for billing accuracy and approve in paperless software., • Effectively and accurately communicate relevant project information to the client and project team., • Keep the project manager and others informed about project status and issues that may impact client relations., • Ensure clients’ needs are met in a timely and cost-effective manner., • Prepare substantial completion certificates and ensure all required project close out documents are obtained., • Maintain and update Murfey safety documents., • Email tailgate topics weekly to project team and save to SharePoint., • Assist Curtis Brooks with daily administrative duties., • Schedule meetings., • Manage an active calendar of appointments., • Compose and prepare correspondence., • Arrange detailed travel plans., • Prepare agendas., • Take meeting minutes., • Pick up/Drop off documents., • Collect, review and log insurance for subcontractors., • Assist the office administrator with office IT functions for the construction team; adding/removing employees from construction software and liaising between construction employees and IT support., • Assist the construction team with resource requests and ordering., • Archive project documents., • Previous experience in construction administration, project coordination, or a related role is required, • Knowledge of construction terminology, documents, and processes is required, • High school diploma required; associate or bachelor’s degree in construction management, business, or a related field is preferred, • Proficient in English, grammar, punctuation, and basic writing skills, • Strong organizational skills and attention to detail, • Ability to manage multiple tasks and deadlines simultaneously, • Excellent written and verbal communication skills, • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with construction software (e.g., Procore, Bluebeam, Microsoft Project, Bid Mail, and Sage) is preferred, • Strong problem-solving skills and initiative, • Ability to work collaboratively with field and office personnel, • Professionalism, discretion, and strong customer service orientation, • Ability to work on multiple tasks with minimal supervision, prioritize and organize workload, • This position operates in an office environment with occasional visits to job sites as needed, • Some travel between project locations may be required., • Office hours are 8 AM – 5 PM We are an equal opportunity employer and all qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity or expression, pregnancy, age, national origin, disability status, genetic information, protected veteran status, or any other characteristic protected by law.
