Position Summary: The Grants and Contracts Manager plays a critical role in advancing BEAM Circular’s mission to build a thriving, inclusive circular bioeconomy in California. This position oversees the administration of grants and contracts to ensure sound fiscal management, compliance with regulations, and effective operational support across the organization’s programs and initiatives. Reporting to the Senior Director of Finance and Operations, the Grants and Contracts Manager serves as a key cross-functional partner, supporting grant acquisition and management, re-granting activities, vendor and contractor contracting, and competitive procurement processes, including RFPs and bids associated with campus development and major projects. Essential Functions, Duties, and Responsibilities: Grants and Contracts Administration • Draft, review, manage, and track contracts for grants, vendors, consultants, and partners., • Coordinate contract execution, amendments, renewals, and closeouts in collaboration with organizational leadership and legal counsel., • Review expenditures and advise program teams on allowable post-award spending, cost eligibility, and contractual commitments., • Ensure contracts and awards align with approved budgets, compliance requirements, and internal financial tracking systems., • Act as a primary liaison with funders and partners regarding contractual obligations, audits, closeouts, and policy compliance., • Support grant application development, award setup, budgeting, invoicing, and reporting processes., • Maintain grant calendars, deliverable schedules, compliance requirements, and sponsor-specific processes., • Monitor ongoing compliance with foundation, institutional, and government funding requirements., • Design, implement, and manage re-granting systems, workflows, and timelines., • Lead organizational procurement and vendor management activities, with a particular focus on campus development and large-scale initiatives., • Develop and manage Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and competitive bid processes., • Coordinate bid tracking, evaluation, and selection in partnership with internal stakeholders., • Draft, negotiate, and manage contracts with contractors, vendors, and service providers following selection., • Oversee operational functions related to vendor contracts, facilities coordination, and outsourced services., • Support the Senior Director of Finance and Operations with finance-related and compliance-related tasks as needed., • Supervise administrative staff, supporting training, workflow planning, and performance development., • May drive on company business., • Comply with all BEAM Circular policies and procedures, including but not limited to workplace safety, reporting work-related injuries, Infection Control, and preventing potential safety risks for staff, clients, and others. Education/Experience: • Education: Degree in finance, business, nonprofit management or related relevant education preferred, • Experience in grants management, contracts administration, and procurement., • Familiarity with general nonprofit finance and operations., • Familiarity with government, foundation, and institutional funding and compliance requirements., • Demonstrated experience developing RFPs and managing competitive procurement processes., • Strong organizational and project management skills with the ability to manage multiple deadlines and stakeholders., • Indoors in a typical office environment, approximately ninety-five percent (95%) of the time., • Frequent computer use at the workstation for up to eight hours., • Frequently work at a fast pace with unscheduled interruptions., • Ability to walk, reach, sit, stand, stoop, crouch, and climb stairs., • Ability to move, carry, push, pull, and lift up to 20 pounds., • Dexterity of hands and fingers to operate a computer keyboard., • The ability to observe details at close range (within a few feet of the observer)., • Ability to communicate information and ideas in English so others will understand., • Must be able to exchange accurate information. What We Offer: • Pay based on experience.
