This role requires complete integration into both the Founder and Managing Partner's workflows with full ownership of administrative functions, enabling them to focus exclusively on high-value client work and business development. Key Success Measure: The degree to which Founder/Managing Partners can focus entirely on client service, business development, and strategic initiatives without administrative distractions. Core Responsibilities Email Management 40% • Complete ownership of email monitoring, organization, prioritization, and response drafting, • Proactive screening to ensure critical communications receive immediate attention, • Professional representation, maintaining consistent voice and messaging standards Calendar & Meeting Management 30% • Master calendar optimization for both executives with conflict prevention, • End-to-end meeting coordination, including preparation, materials, and follow-up, • Strategic time protection ensuring optimal allocation for high-value activities Travel Coordination 10% • Comprehensive travel management, including booking, itineraries, and real-time support, • Expense coordination with accounting partners for seamless processing, • Contingency planning to handle travel disruptions professionally Internal Operations Support 10% • CRM maintenance and client relationship system management, • Vendor coordination and administrative infrastructure management, • Process improvement identification and implementation Special Projects & Administration 10% • Project coordination with external partners and deliverable tracking, • Document management with organized systems and version control, • Event planning for client meetings and business development activities Required Experience • 5 years minimum support of a CEO/President or C-Suite executive in a professional services environment, with experience in supporting more than one executive simultaneously, • Proven track record managing complex calendars for more than one executive • Heavy travel management experience, including door-to-door itineraries, • Meeting planning-Schedule meetings for Managing Partners, including dinners, new client events,s understanding the NYC venue market (Tribeca, Midtown etc.) • Technology proficiency, including Microsoft Office Suite, CRM systems, Hubspot, Slack, and Expense management systems *Communication-Mastery of Email, phone, and in-person communication with the ability to represent the Founder and MP professionally • AI workflow tool experience, including Otter, Manus, ChatGPT, etc., where you have demonstrated experience leveraging in your day-to-day work Preferred Experience Professional services background, consulting, investment banking, or private equity, where you have had autonomy to create and own processes and procedures.
