Job Description Job Title: Project Administrator (Accounts Payable/Accounts Receivable) Location: Bakersfield, CA Pay Rate: $20 - $30 per hour Job Description The Project Administrator supports project and accounting operations by processing financial transactions, maintaining accurate records, and providing comprehensive administrative support to project teams. This role ensures that accounts payable and receivable activities run smoothly, project data remains current, and office functions operate efficiently in a fast-paced industrial and commercial project environment. Responsibilities • Process and manage Accounts Payable and Accounts Receivable transactions accurately and in a timely manner., • Track invoices, purchase orders, payments, and outstanding balances to ensure accurate financial records., • Reconcile accounts and assist with month-end reporting activities., • Generate, update, and maintain project reports, spreadsheets, and financial records., • Enter and update project data within company systems, ensuring information remains current and accurate., • Support project managers with administrative tasks, documentation, and project coordination., • Maintain organized filing systems for contracts, invoices, and project records in both physical and digital formats., • Answer phones, respond to emails, and provide professional and courteous customer service., • Coordinate office supplies, equipment needs, and general office operations., • Assist with scheduling meetings, preparing agendas, and drafting project-related correspondence., • Ensure all records, reports, and documentation are completed accurately and submitted on time. Essential Skills • At least 1+ years of experience in administrative support, accounting, bookkeeping, or project support., • Experience with Accounts Payable and Accounts Receivable processes (preferred but strongly valued)., • Proficiency in Microsoft Office Suite, with strong skills in Microsoft Excel., • Demonstrated experience with administrative support and general office administration., • Hands-on experience with invoicing, invoice processing, and purchase order tracking., • Basic understanding of accounting principles and financial recordkeeping., • Strong attention to detail and high level of accuracy in data entry and documentation., • Excellent organizational skills with the ability to manage multiple tasks simultaneously., • Ability to prioritize workload effectively and meet deadlines in a structured environment., • Excellent written and verbal communication skills for interacting with internal teams and external partners., • Comfort using computers and standard office software for data entry and reporting. Additional Skills & Qualifications • Experience with ERP, accounting, or project management software is a plus., • Knowledge in supporting industrial or commercial projects is beneficial., • Customer service experience in a professional office setting., • Ability to collaborate effectively with project managers, field teams, and office staff., • Knowledge of prevailing wage projects and labor compliance requirements., • Experience preparing or supporting certified payroll reporting., • Experience with state workforce, labor compliance, or pay data reporting., • Familiarity with public works or government-funded construction projects. Work Environment This is an on-site field and office role based in Bakersfield. You will work closely with project managers and field teams in a collaborative, project-driven environment. The standard schedule is Monday through Friday, from 7:00 AM to 3:30 PM, providing a consistent daytime work routine. The role involves regular use of computers, Microsoft Office applications, and office equipment, along with interaction across engineering, administrative, and field operations functions. Job Type & Location This is a Contract to Hire position based out of Bakersfield, CA. Pay and Benefits The pay range for this position is $20.00 - $28.00/hr.
