Role & Responsibility:Tasks That Will Lead To Your Success • Apply structured change management approach and tools to develop change strategies and plans to support the adoption and value realization of medium-to-large-scale, complex change initiatives., • Serve as primary liaison to the change sponsor, project manager, overall project team, and stakeholders; provide guidance to enhance change effectiveness., • Oversee multiple change project schedules, associated budgets, and resources; integrate change management activities and tasks into project plan., • Build and maintain a variety of mutually beneficial stakeholder relationships that advance change management effectiveness especially at senior leadership levels and with external partners., • Conduct and analyze a variety of assessments including stakeholder assessment, change impact analyses, and change readiness., • Identify, analyze and develop tactics to mitigate change barriers and resistance and enable change readiness., • Engage and coach senior leaders on effective change leadership., • Direct or complete the development, delivery and management of communications. Work with corporate and line of business communications teams as needed., • Provide input, document requirements and support the design and delivery of training programs or learning resources. Work with Learning & Development teams., • Define and measure business readiness and success metrics and monitor change progress. Job Description Reports to: Project Director Employee Status: Full Time, Exempt Location/Office: Buffalo, NY (CAI has a hybrid work schedule of working 2 days in the office and 3 days remote) This position is supported through federal grant funding. Continued employment is contingent upon the availability of grant funds. GENERAL STATEMENT OF RESPONSIBILITIES: The Project Manager of HOPE Buffalo works in partnership with a multidisciplinary team to provide day-to-day management and coordination of all activities associated with achieving the goals of the HOPE Buffalo initiative. Under the direction of the Project Director, this position supports the planning, implementation, coordination, and continuous improvement of program strategies aligned with approved workplans and funder requirements. HOPE Buffalo is a citywide, youth-centered initiative focused on optimizing youth wellness and reducing rates of teen pregnancy and sexually transmitted infections through evidence-based and evidence-informed programming, community-wide referral systems, youth leadership, and cross-sector collaboration. This role provides operational coordination, oversight, and technical assistance to community partners, youth-serving organizations, and internal teams to ensure consistent, high-quality program implementation across multiple settings. The Project Manager plays a critical role in translating strategy into action by supporting partner engagement, tracking program activities and deliverables, facilitating communication across teams, and ensuring required documentation and data are collected to support monitoring and reporting. In doing so, the Project Manager helps sustain strong partnerships, elevate youth voice, and support the effective execution of HOPE Buffalo’s programs and activities citywide. MAJOR TASKS AND RESPONSIBILITIES (including, but are not limited to): • Provide day-to-day operational support for HOPE Buffalo programs and activities in alignment with approved workplans., • Track program activities, timelines, and deliverables to ensure consistent implementation across partners., • Proactively identify and address operational issues, escalating to leadership as appropriate., • Manage and support preparation for program-related meetings, trainings, and implementation activities., • Record and disseminate meeting notes and key action items for internal and partner meetings as appropriate., • Serve as the primary point of contact for program partners, contractors, and facilitators., • Coordinate partner onboarding, communication, and ongoing technical assistance to support high-quality implementation., • Support monitoring of partner progress toward scope of work and follow up on required deliverables and documentation., • Establish and maintain systems to ensure timely payment of partners, youth, and community members., • Maintain strong, collaborative relationships with community partners, stakeholders, and youth involved in HOPE Buffalo programming., • Maintain organized project files and databases in accordance with organizational standards (i.e., project management systems, training management systems)., • Coordinate with internal communications staff and partners to support the development of public-facing materials, including website content, newsletters, reports, and press-related communications, to advance project visibility and stakeholder engagement., • Support consistent program delivery and fidelity across sites and partners., • Assist with feedback loops and continuous quality improvement efforts informed by youth, partners, and staff. Perform other duties as necessary/assigned. MINIMUM EDUCATION, EXPERIENCE AND OTHER SKILLS REQUIRED: • Bachelor’s degree and/or a minimum of 5 years combined (training and field) experience in public health, education, community engagement, social work or a related field., • In-depth knowledge and understanding of the Buffalo Community and Buffalo Public School System., • Knowledge of quality improvement and performance management principles to improve youth and community outcomes., • Strong analytical, facilitation, and interpersonal skills, as well as strong oral and written communication skills., • Familiarity with evidence-based sexual and reproductive health interventions., • Excellent planning skills, extremely organized, and ability to multitask., • Demonstrated skills in project coordination and project management., • Ability to work both independently and as part of an interdisciplinary team., • Advanced knowledge of Microsoft Word/PowerPoint/Excel/Outlook.
