Job Description The application window for this position has an anticipated end date of 04/10/2026. This is a part-time role within the DCPA HR Department. A typical schedule is four hours a day with an average of 20 hours a week between the hours of 9:00 and 5:00 as agreed upon with management. Job Purpose The Mailroom Associate is responsible for overseeing all daily mailroom operations and providing internal services, including mailing distribution, package handling, and high-volume printing projects. This role manages billing preparation, coordinates incoming and outgoing shipments with UPS, FedEx, USPS, supply vendors, and administers organization-wide office supply ordering. Duties and Responsibilities • Coordinates organization-wide mail sorting and delivery, ensuring efficient internal distribution., • Prepares outgoing materials and processes daily mail using an in-house postage machine., • Supports large copy projects, bulk orders and coordinating large supply shipments., • Oversees all shipping operations, including creating labels, coordinating pickups, selecting cost-efficient carriers, tracking deliveries, resolving shipping issues, and correcting billing discrepancies., • Processes and allocates invoices and charges for all mail and packages to the appropriate department., • Manages office supply inventory, including ordering materials and overseeing vendor relationships to ensure timely and cost-effective support., • Maintains mailroom equipment by coordinating vendor service calls and troubleshooting operational issues., • Assists team members in a courteous and professional manner with questions related to shipping, mailing, delivery timelines, and supply needs., • Ensures the mailroom remains clean, organized, welcoming, and compliant with all safety standards., • High School Diploma/GED preferred., • Minimum of 1 year of experience in a customer service-related role., • Excellent interpersonal and customer service skills., • Exhibits exceptional attention to detail and a high level of accuracy., • Demonstrated ability to prioritize tasks and work independently in a fast‑paced environment., • Ability to operate a variety of office equipment, including postage machines, fax machines, printers, and binding machines., • Familiarity with various shipping platforms including UPS, FedEx, USPS preferred., • Ability to safely lift, carry, and move packages or equipment weighing up to 50 pounds as required., • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook and teams. Working Conditions This position operates in a professional office environment. This role routinely uses standard office equipment such as a computer, phone, photocopier, filing cabinet, and fax machine. This is a part-time role within the DCPA HR Department. A typical schedule is four hours a day with an average of 20 hours a week between the hours of 9:00 and 5:00 as agreed upon with management. Once established the schedule will be set and must remain consistent. Physical Requirements While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to handle or feel; and reach with hands and arms. The employee must frequently lift and/or move objects and occasionally lift and/or move objects up to 50 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus.
