Job Description Job Title: Administrative Assistant C Location: Simi Valley, CA (This position is 100% onsite) Schedule: Day Shift - 9/80: Employees work 9 out of every 14 days – totaling 80 hours worked – and have every other Friday off. Position Summary: The Administrative Assistant will provide high-level administrative and operational support to the General Manager. This role requires exceptional organization, discretion, and communication skills to manage daily office operations, coordinate internal and external activities, and ensure smooth execution of executive-level priorities. The individual will serve as a key liaison between the General Manager, internal departments, and external partners, including government and defense clients. Responsibilities: • Provide direct administrative support to the General Manager, including calendar management, meeting coordination, travel arrangements, and preparation of correspondence, reports, and presentations., • Serve as a primary point of contact for internal and external communications on behalf of the General Manager, ensuring timely and professional responses., • Coordinate and arrange customer and supplier visits, including facility access, meeting logistics, catering, and hospitality., • Manage conference room scheduling, maintenance, and readiness; ensure audio/visual and teleconference equipment is operational and coordinate with IT or Facilities for repairs., • Perform general office duties including filing, copying, scanning, document preparation, mail distribution, and light data entry., • Maintain copier/printer areas, stock supplies, and submit service requests for repairs as needed., • Prepare, process, and track expense reports and travel authorizations in compliance with company policies., • Maintain strict confidentiality of all sensitive and proprietary information, including personnel, business, and government data., • Support security and compliance processes by following company protocols related to classified or controlled information., • Provide backup administrative support to other departments during peak workloads or absences., • Assist with planning and coordination of company events, training sessions, and site visits., • Perform additional duties and special projects as assigned., • Qualifications:, • Requires a High School Diploma or equivalent and a minimum of 6 years of prior relevant experience or 2 years post-Secondary/Associates Degree with a minimum of 2 years of prior related experience., • Experience supporting senior leaders or executives in a manufacturing, engineering, or defense environment preferred., • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and strong document formatting, proofreading, and presentation skills., • Demonstrated ability to manage multiple priorities and deadlines while maintaining accuracy and attention to detail., • Excellent verbal and written communication skills., • Proven ability to handle sensitive and confidential information with discretion., • Strong interpersonal skills with the ability to work collaboratively across multiple departments., • Must have the ability to obtain a future Security Clearance could be required for the role. In compliance with pay transparency requirements, the salary range for this role is 52,000k-94,500k. This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location.
