We are looking for a detail-oriented and proactive Customer Operations & Order Management Specialist to join our Miami team and play a key role in supporting business operations, coordinating logistics, and ensuring every order is processed, tracked, and delivered with accuracy and efficiency. What You’ll Do As an Customer Operations & Order Management Specialist, you will play a key role in ensuring a seamless end-to-end client experience by managing order processing, logistics coordination, and invoicing accuracy. Acting as a central link between sales, logistics, finance, and international teams, you will help ensure that every order is executed with precision and delivered on time. • Manage the full order lifecycle from confirmation through delivery and invoicing, ensuring accuracy in products, pricing, finishes, and documentation, • Process and maintain customer orders in ERP systems (Navision), verifying all required documentation and payment status prior to release, • Coordinate shipments across multiple channels (container, airfreight, truck, courier, and direct factory shipments) with freight forwarders and logistics partners, • Monitor and track order and shipment progress, providing timely updates and maintaining accurate records for forecasting and planning, • Collaborate with warehouse teams to coordinate receiving, storage, and delivery scheduling, • Ensure alignment between shipments, invoicing, and accounting processes, including linking invoices to shipments and submitting orders for invoicing upon POD, • Prepare and manage documentation for all order types, including customer, stock, warranty, and complimentary orders, • Handle claims submission and follow-up, coordinating replacements or corrective actions as needed, • Partner cross-functionally with sales, customer service, accounting, and international teams to resolve issues and optimize workflows, • Support continuous process improvements to enhance operational efficiency and accuracy What You Bring • 3–5+ years of experience in operations, order management, logistics coordination, or a related role (luxury or design industry preferred), • Experience working with ERP systems (Navision or similar), • Strong understanding of order processing, shipment coordination, and invoicing workflows, • High attention to detail with a strong commitment to accuracy and accountability, • Ability to manage multiple priorities in a fast-paced, deadline-driven environment, • Strong communication and collaboration skills across international and cross-functional teams, • Analytical and problem-solving mindset Skills That Set You Apart • Highly organized with excellent time management and follow-through, • Proactive, solution-oriented approach to operational challenges, • Strong interpersonal skills and ability to coordinate with diverse stakeholders, • Comfortable working with data, tracking systems, and operational reporting, • Proficiency in Microsoft Office; experience with CRM or logistics tracking tools is a plus, • Fluent in English; additional languages (e.g. Italian or Spanish) are a plus Why Join Us • Be part of a premium, design-driven environment within the luxury furniture industry, • Work closely with international teams and global operations, • Play a key role in delivering a high-quality client experience behind the scenes, • Opportunity to grow within a structured and dynamic operational organization Cassina is proud to be an equal opportunity employer.
