Job Description POSITION SUMMARY: The Executive Assistant provides direct support to the Executive Director. The Executive Assistant will manage day-to-day administrative responsibilities, assist with communications and outreach, and support creative and digital initiatives. KEY RESPONSIBILITIES: • Provide high level administrative support, including managing calendars, scheduling meetings, preparing documents and handling correspondence., • Manage and prioritize incoming emails, calls, and requests for the ED’s attention., • Draft contracts and proposals assigned by the ED., • Serve as a liaison between the ED and the board members, staff and external partners., • Assist in preparing materials for meetings, including packets, creation of presentations, graphics, reports and marketing materials., • Support website management - update content, basic troubleshooting, and coordination with web developers as needed., • Handle outreach tasks, including drafting correspondence, managing contact lists, and coordinating communications with partners and clients., • Maintain the database of contacts., • Track and follow up on projects, deadlines and deliverables., • Support event planning, logistics and execution., • Conduct research, prepare reports, and summarize findings for executive review., • Support the ED in donor relations and external communications, including drafting thank-you notes, scheduling follow-ups, and preparing background briefs., • Collaborate with the Programs, Development, and Operations teams to ensure seamless coordination of executive-level initiatives., • Represent the ED and Conga Kids professionally with internal and external stakeholders., • Perform other duties and tasks as assigned by the Executive Director. QUALIFICATIONS AND EXPERIENCE: • Proven experiences an Executive Assistant, Administrative Assistant or similar role., • Strong organizational skills with the ability to prioritize and multitask., • Excellent written and verbal communication skills., • Strong attention to detail., • Proficiency with Canva and comfort with website management platforms (e.g., Squarespace, Wix, or similar), • Strong proficiency in Microsoft Office Suite and/or Google Workspace., • High level of discretion and professionalism when handling confidential information., • Ability to work independently and take initiative while supporting overall team goals. JOB REQUIREMENTS: • Must have a Driver’s License., • Must have access to reliable transportation with appropriate auto insurance coverage., • Must obtain TB test clearance., • Must obtain Live Scan clearance., • Must be a Mandated Reporter.
