What We Do Here at HLE: Over almost 30 years, we have worked in the public works sector. More precisely in highway work. Our area of concentration includes sign lighting, freeway lighting, street lighting, traffic signals, ramp metering systems. Any electrical components that are related to that scope of work fall under our specialty. Our projects physical footprint spans from our Southern California offices throughout California to its Northern Border. The Role Job Title: Fleet Coordinator Department:Yard Classification: Non-Exempt Reporting to:Office Manager Role Purpose: The Fleet Coordinators objective is to lead the coordination of HLEs moto vehicles and heavy equipment fleet. This role ensures proper scheduling, maintenance, recordkeeping, and compliance across all fleet operations, supporting job site readiness, cost control, and safety standards through discipline execution. Accountability Roles: • Lead, Manage, and Hold Accountable (LMA): The Fleet Coordinator leads day-to-day equipment and vehicle coordination, ensuring maintenance schedules are met, repairs are timely, and inspections are performed with discipline. This role manages communications with drivers, mechanics, and vendors to avoid downtime and keep operations moving smoothly. Accountability is evident in how records are kept, tasks are followed through, and safety is prioritized across all actions., • Data: This role is responsible for capturing and maintaining accurate fleet data within HLEs systems, equipment logs, and maintenance records. It also includes the investigation and documentation of theft or damage incidents. High quality data supports compliance, decision making, and future planning., • Process: The Fleet Coordinator owns and executes repeatable systems for equipment inspections, preventive maintenance, material purchasing, and fleet compliance. These processes must remain standardized, legally compliant (including DOT), and continuously improved to support scalability and audit readiness. CoreResponsibilities: • Inspect and evaluate fleet equipment for maintenance, repair, or replacement., • Schedule and track preventive maintenance and coordinate repairs with internal or external resources., • Maintain inventory of vehicles and civil equipment and assign as needed for operational readiness., • Monitor and ensure compliance with all local, state, and federal (including DOT) fleet related regulations., • Assist in the monitoring of the administration of driver daily logs and Pull Notice program., • Manage parts and materials purchasing for fleet repairs., • Support maintain up-to-date records within fleet management systems (e.g., Tenna)., • Report, document, and follow up on stolen or damaged equipment, including coordinating police reports., • Assist in the coordination of training for proper equipment handling and operator safety. Education and Experience: • High school diploma or equivalent required., • Minimum 1 year of experience in a fleet coordination or fleet management role., • Experience with maintenance tracking, equipment assignments, and documentation systems., • Experience handling customer/driver communication and resolving equipment related issues., • Strong background in organizing, prioritizing, and maintaining accurate records. Physical Requirements: • Work is primarily outdoors and exposes the employee to varying weather conditions, as well as working in confined spaces that require crawling or maneuvering in small areas., • The employee may need to stand/kneel for long periods while working on installations or repairs., • Many tasks require climbing ladders or scaffolding to reach high areas for installation or repairs., • While performing the duties of this job, the employee is frequently stretching, reaching, extending arms to use tools or perform tasks in uncomfortable positions., • Must be able to lift up to 50 pounds at times., • Employee must be aware of and use personal protective equipment (PPE)., • The physical nature of the job can be demanding and requires good physical fitness, stamina, and the ability to handle various physical tasks safely.
