Using ServiceNow as the primary ticketing system, this role ensures that maintenance issues are tracked, assigned, and resolved efficiently. The Facilities Coordinator works closely with store managers, service vendors, and the Facilities/Construction team to maintain safe, functional, and customer-ready store environments. The ideal candidate is highly organized, detail-oriented, and proactive in managing multiple requests and vendor relationships at once. This role manages lease operations, partners with cross-functional teams including Accounting, Real Estate, Legal, and Construction, and provides senior leadership with insights and analysis for decision-making. Reporting to the Director of Accounting and Controls and working closely with the Head of Real Estate, the Lease Manager is a key contributor to property planning, budgeting, and risk mitigation related to leasing. Duties and Responsibilities • Support the “Cavender’s Culture” and drive our Mission, Vision, and Values, • Manage the lease lifecycle for over 200 properties, including new leases, renewals, amendments, and terminations, • Supervise lease administration activities including financial reconciliation, reporting, and compliance across all lease obligations, • Review and approve lease-related disbursements such as base rent, CAM, tax, insurance, and percentage rent, • Serve as a subject matter expert on commercial lease terms, ensuring proper interpretation and execution, • Oversee the maintenance of lease data in systems such as SAP and lease management platforms, • Coordinate and lead monthly lease forecasting and budgeting processes in collaboration with Finance and Real Estate teams, • Monitor key financial and operational terms in lease agreements, flagging and planning for escalations, expirations, and renewal options, • Provide financial analysis and executive reporting on lease costs, projections, and occupancy trends to senior leadership and the Real Estate Committee, • Partner with Construction and Real Estate on lease negotiations and site selection by providing financial modeling and risk assessments, • Review and submit tenant improvement reimbursements and ensure alignment with lease terms, • Support audit and compliance efforts related to leases, including preparation of schedules, reconciliations, and financial disclosures, • Ensure proper recording of lease-related accruals and deferrals in accordance with GAAP and internal accounting policies, • Manage internal lease tracking systems and schedules with attention to accuracy and deadlines, • Bachelor’s degree in Accounting, Finance, Real Estate, or related field required, • Minimum 6 years of experience in lease administration, real estate finance, or commercial property management, with at least 2 years in a leadership or management role, • Strong understanding of lease accounting, commercial real estate terms, and financial reporting standards, • Proficient in Microsoft Excel and financial systems (SAP preferred), • Demonstrated ability to lead cross-functional initiatives and improve operational processes, • Strong communication and negotiation skills, with the ability to interact with legal counsel, landlords, brokers, and internal stakeholders, • Experience overseeing large retail or multi-site property portfolios, • Advanced understanding of CAM reconciliation, percentage rent, and escalation clauses, • Knowledge of lease abstraction tools and real estate management platforms, • Familiarity with budgeting, forecasting, and audit processes in a retail environment Cavender’s is an Equal Opportunity Employer. Duties and Responsibilities · Support the “Cavender’s Culture” and drive our Mission, Vision, and Values · Serve as a strategic partner, providing accounting leadership and guidance to key internal stakeholders. · Prepare and analyze accounts payable reports and metrics to support financial planning and decision-making. · Review and reconcile vendor accounts, resolving discrepancies and managing communication with suppliers. · Oversee the AP month-end close process, including accruals and account reconciliations. · Assist with budgeting, forecasting, and financial analysis to provide insights to senior management. · Prepare journal entries, reconciliations, and other accounting functions related to A/P. · Implement process improvement strategies to streamline the accounts payable process and reduce manual efforts. · Assist in developing policies, procedures, and departmental goals and objectives. · Ensure compliance with accounting standards, policies, and regulations, including oversight of internal controls. · Collaborate with auditors and provide necessary documentation during annual audits. · Support Finance leadership with special projects, process enhancements, system upgrades, or ad hoc reporting related to accounts payable operations Qualifications and Requirements · Bachelor’s degree in accounting, Finance, or a related field. · 5+ years of experience in accounting, with at least 2 years in a supervisory or managerial role. · Strong experience in cash accounting, Accounts Payable processes, regulatory requirements, and financial controls. · Advanced proficiency with Microsoft Office, particularly Excel (pivot tables, VLOOKUPs, etc.). · Proven leadership abilities with excellent verbal and written communication skills. · Ability to effectively collaborate and communicate with internal stakeholders and cross-functional teams. · Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment. · Strong knowledge of GAAP, SEC regulations, and SOX compliance. · Hybrid based in DFW Preferred Skills · Experience with SAP or other enterprise resource planning (ERP) systems. · Experience in managing Real Estate department accounting activities. · CPA or other relevant certifications.
