Job Description PLEASE NOTE - This position may require temporarily relocation to other TONHC Facilities: Sells Hospital, Santa Rosa Health Center, San Simon Health Center, and San Xavier Health Center. Summary: Performs a wide variety of administrative tasks associated with maintaining and supporting the work performed within the organization. Such work includes functions necessary for the efficient management of the credentialing office and ranges from correspondence and information control to ordering and tracking equipment, supplies, and services for the Clinical Services department. In addition, the incumbent prepares, processes, tracks, and submits credentialing applications. Scope of Work: The position is located within the Tohono O'odham Nation Health Care. The incumbent is primarily responsible for assisting physicians with preparing and submitting credentialing applications and ensuring quality patient care needs meet the verification processes of all providers. Essential Duties and Responsibilities: (Depending on the area of assignment, an incumbent may not be required to perform some of the duties listed below): • Prepares and submits credentialing applications., • Enroll physicians with third-party payers., • Follow-up on the status of applications for physicians and payers., • Keeps a detailed log of all pending and completed work., • Communicate the results and status of third-party payer applications to physicians, payers, managers, and co-workers., • Receives, assesses, routes, or otherwise handles incoming and outgoing materials such as controlled or routine correspondence, reports, memoranda, and other forms of written communication., • Attends medical staff meetings, records, types, and distributes minutes. Tracks issues in meetings to ensure appropriate evaluation and follow-up to resolve., • Maintain the medical staff competency files with all CME attendance records and mandatory training., • Tracks controlled correspondence; composes, edits, and reviews correspondence, letters, reports, and other written documents for accuracy and completeness., • Perform office automation duties, including preparing ad hoc and reoccurring reports, forms, correspondence, and presentation materials, including complex graphs, charts, and tabular material., • Compiles, organizes, and tracks program data that may include statistical information supporting the organization's program operations., • Enters pertinent information into various automated tracking systems and maintains program-specific data to track items such as project milestones, progress reports, funding and expenditure data, etc., • Serve as the point of contact for scheduling meetings for conference rooms. Schedules appointments, coordinates meetings, and schedules conferences., • Receives refers and interacts with persons within and outside of the immediate organizational unit, including other Federal organizations, private industry, and the general public., • Purchases supplies, equipment, and other materials using prescribed purchasing guidelines and procedures., • Follows up on and tracks expenditures and ensures prompt payment., • Answers questions concerning policies and procedures related to support/office services and new projects, requests, and shifts in priorities and commitments., • Contribute to a team effort., • Knowledge of applicable federal, state, tribal laws, regulations, and requirements., • Knowledge of the Tohono O'odham culture, customs, and traditions., • Knowledge of controlled and other correspondence procedures., • Knowledge of the policies and regulations on administrative activities such as timekeeping, travel, maintenance, and disposition of records, and purchasing., • Knowledge of in-depth grammar, punctuation, and spelling., • Knowledge of the relationship between organizational units within TONHC; and externally between TONHC and the Tohono O'odham Nation Department of Health and Human Sevices (TON DHHS)., • Knowledge of the goals, objectives, and programs of the TONHC Medical Staff, TONHC, and TON DHHS., • Knowledge of the interpersonal professional relationships between key leaders and staff in the TONHC Medical Staff and throughout TONHC., • Knowledge of all-inclusive calendar and meeting management, including methods for managing the complex schedules of senior management., • Knowledge in advanced technology and skill using computer word processing, database programs, and other computer software., • Skill in providing superior customer service to internal and external customers., • Skill in time management., • Ability to maintain privileged, confidential information., • Ability to act as a point of contact for incoming and outgoing requests for information, understand the context for tasks and assignments, and generally facilitate the work of TONHC Medical Staff., • Ability to create and edit various documents, including reports, presentations, and correspondence for the Clinical Director and other Medical Staff., • Ability to communicate efficiently and effectively both verbally and in writing., • Ability to establish and maintain positive and effective working relationships with other employees and the general public., • Ability to work independently and meet strict timelines., • High School Diploma or General Education Diploma., • Must type 40 WPM., • Must demonstrate sixty percent proficiency in grammar, spelling, and math., • Upon recommendation for hire, a criminal background and a National FBI fingerprint check are required to determine suitability for employment, including a 39-month driving record., • May require possessing and maintaining a valid driver's license (no DUIs or major traffic citations within the last three years)., • If required, must meet the Tohono O'odham Nation tribal employer's insurance requirements to receive a driver's permit to operate program vehicles., • Based on the department's needs, incumbents may be required to demonstrate fluency in both the Tohono O'odham language and English as a condition of employment.
