SUMMARY The Clinic Supervisor is responsible for the overall day-to-day operational leadership of the Florence Clinic. This role provides direct management oversight of clinic operations, clinical support services, and non-clinical staff, ensuring the clinic functions efficiently, safely, and in alignment with organizational policies, regulatory requirements, and patient-centered standards of care. The Clinic Supervisor serves as the on-site operational leader and works closely with providers, clinic staff, and leadership to support patient flow, staffing coverage, facility operations, and service excellence. This position directly supervises the Clinic Lead and has management responsibility for all non-licensed and licensed clinical support staff, including front office, back office, medical records, and enrollment staff. This is an exempt position expected to take full ownership of clinic operations and to provide coverage and operational support at other clinic sites when needed, with primary responsibility at the Florence Clinic. ESSENTIAL DUTIES CLINIC OPERATIONS & LEADERSHIP • Oversee daily operations of the Florence Clinic, ensuring efficient, high-quality, and patient-centered services., • Provide direct supervision and leadership oversight to the Clinic Lead and all non-clinical and clinical support staff., • Serve as the primary on-site operational point of contact for providers, clinic staff, and leadership., • Ensure adequate staffing coverage, manage schedules, and coordinate cross-coverage when needed., • Support clinic start-up, ramp-up, and stabilization activities as applicable., • Step in to support or cover operational needs at other clinic sites when required., • Directly manage front office, back office, medical records, and enrollment staff., • Oversee hiring, onboarding, training, coaching, performance management, and corrective action for assigned staff., • Conduct regular check-ins, annual evaluations, and performance improvement plans as needed., • Foster a positive, accountable, and collaborative clinic culture., • Ensure staff are trained and compliant with clinic workflows, policies, and procedures., • Ensure clinic operations comply with organizational policies, contracts, grant requirements, and regulatory standards., • Maintain oversight of personnel documentation including licenses, certifications, trainings, and required clearances., • Monitor clinic workflows and patient flow to reduce wait times and operational barriers., • Oversee patient registration processes, medical records management, enrollment activities, and cash reconciliation., • Ensure timely and accurate completion of reports, logs, and operational documentation., • Support quality improvement initiatives related to clinic operations, patient experience, and access to care., • Ensure readiness for audits, site visits, and regulatory reviews., • Identify operational risks and implement corrective action plans as needed., • Collaborate with leadership and Quality Improvement staff to address non-compliance issues., • Assume responsibility for day-to-day facility operations at the Florence Clinic., • Coordinate facility maintenance, safety, security, keys, and access control., • Monitor clinic supplies and equipment and coordinate procurement and repairs., • Serve as the point of contact for IT and operational issues at the site, coordinating with vendors as needed., • Ensure the clinic environment supports safe, efficient, and dignified patient care. SECONDARY DUTIES • Perform duties of subordinate staff when necessary to maintain clinic operations., • Assist with clinic coverage, special projects, and operational initiatives as assigned., • Perform related duties as requested by supervisor. SUPERVISORY RESPONSIBILITY • Directly supervises the Clinic Lead and all assigned clinical support and non-clinical staff., • Provides guidance, training, and operational support to providers and clinic teams. It may include some minor annoyances such as noise, odors, drafts, etc. The incumbent is in a non- confined setting in which he or she is free to move about at will. The employee may occasionally be exposed to emotional patients/family members. PHYSICAL ACTIVITY In the course of performing this work, the incumbent: • Will spend substantial time standing, sitting, speaking and listening, • Will reach, stoop, bend, kneel, crouch, lift supplies and equipment, • Must regularly lift and/or move up to 25 pounds, and occasionally lift and/or move patients for which he/she must obtain assistance, • Must use personal protective supplies/equipment in accordance with policies Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the job. To perform effectively in this position, the incumbent must have: • Minimum of 3–5 years of clinic management or healthcare leadership experience, preferably in an outpatient or community health setting., • Medical Assistant (MA) or Licensed Vocational Nurse (LVN) background preferred, but not required., • Demonstrated experience managing clinic operations, staff supervision, and patient flow., • Strong understanding of healthcare operations, compliance, and clinic workflows., • Proven leadership, problem-solving, and decision-making skills., • Ability to manage competing priorities in a fast-paced clinical environment., • Excellent communication, organizational, and interpersonal skills., • Proficiency with EMR systems and standard office software., • Ability to maintain confidentiality and discretion with sensitive patient and staff information., • Valid California driver’s license and ability to travel between sites as needed., • The incumbent must be able to perform this job safely, without endangering her/his health and safety or those of others., • Healthcare Personnel Requirements for vaccinations and preventative testing: Hep B, Influenza, MMR, TDAP, TB, Covid-19 vaccination and booster.
