Job Description Job description: Job Summary The Clinical Manager is responsible for overseeing the day-to-day back-office staffing operations of HarborCHC health centers. This role ensures the efficient coordination of clinical workflows, the safe provision of quality patient care, and effective support for medical providers. The Clinical Manager will lead, manage and supervise the back-office team, including Lead Medical Assistants, Medical Assistants (MAs) and lab technicians, and will support the implementation of new and existing services. This position includes a strong managerial component, including active responsibility for participation in recruiting, hiring, onboarding, training, employee performance management, and corrective action for back-office staff. EXPECTATIONS • Ensure Health Center operations are aligned with HarborCHC’s clinical performance and quality metrics., • Work closely with our Human Resources (HR) team on all related tasks such as recruitment, hiring and onboarding,, • Ensure all back-office staff adhere to our Employee Handbook at all times, especially our policies pertaining to wage and hour practices and other labor law., • Lead and manage back-office workflows to maintain clinical efficiency and ensure safe, high-quality patient care by having a well-trained, disciplined Medical Assistant and back-office team., • Serve as a role model for Leadership in clinical excellence, professionalism, and accountability., • Ensure all back-office staff adhere to PCMH standards, clinical protocols, and administrative guidelines. Participate in all QI/QA projects and recommend improvements based on data, observations, and best practices., • Act as a Leader in de-escalating and resolving immediate patient concerns., • Act as a Leader in any conflict with personalities on the clinical team – always keeping a focus on Communication, Collaboration and Cohesion., • Communicate clinical findings or concerns to providers in a timely and effective manner., • Facilitate ongoing training and skill development for staff, including EHR use, documentation, procedures, and clinical protocols. And accurately reflect all skill sets in back-office staff Annual Performance Reviews (APR)., • Collaborate with Lead MAs all scheduling for back-office daily rotations and ensure adequate coverage for planned and unplanned absences and daily meal and rest breaks., • Collaborate and Communicate with clinic leadership to identify staffing needs and support operational planning., • Provide timely feedback, coaching, and mentorship to support staff development and address performance concerns. To perform the job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required: • Ensure the health center remains in compliance with established performance and quality metrics., • Take a leadership role in managing back-office workflow to ensure efficiency, effectiveness, and safe patient care., • Serve as a role model in clinical care, professionalism, and accountability., • Ensure back-office staff comply with organizational policies, PCMH standards, and clinical/administrative guidelines., • Participate in QI/QA projects, activities, and initiatives; recommend areas for improvement based on findings., • Collaborate with onsite leadership to provide de-escalating support in addressing immediate patient needs and/or complaints., • Mitigate, manage, and communicate significant clinical findings to providers in a timely manner., • Lead ongoing training and skill development for MAs, from orientation to regular updates in EHR, documentation, procedures, protocols, and clinical performance., • Provide direct clinical support to providers and MAs in exam and procedure rooms as needed., • Assess workflow of back-office staff and adjust scheduling to ensure adequate coverage for absences, illnesses, and breaks. Required education, experience and/or training: • Current CA CMA, RN license or LVN License, • Minimum of 5 years clinical Leadership experience, • Minimum of 8-10 years of progressive Leadership or supervisory and managerial experience., • Strong written and verbal communication skills., • Very strong technical skills such as EMR software (we use eClinicalWorks) and Azara, Quest, Lanes, Eyepacs, UMI, CAIR2, EZIZ, Relias and other portals. Additionally, all Microsoft Office programs and platforms, • Ability to exercise discretion, tact, and sensitivity in patient and team interactions., • Excellent interpersonal skills with the ability to lead, motivate, and develop staff., • Experience in a community clinic or Federally Qualified Health Center (FQHC) setting preferred. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and the ability to adjust. Hours: HarborCHC is open Monday – Thursday 7:00am-7:00pm, Friday and Saturday 8am-5pm. This is a full-time, exempt position, and the employee is expected to work approximately 40 hours per week. Evening and weekend work may occasionally be required, as business needs dictate.
