Job Description Summary The Administrative Assistant provides administrative and clerical support to the shelter’s leadership team, ensuring smooth office operations, accurate documentation, and effective communication across departments. This role supports the Site Director, Director of Operations, and Director of Social Services. KeyResponsibilities • Provide administrative support to leadership, including scheduling meetings, managing calendars, and preparing correspondence., • Maintain organized filing systems and ensure accurate record-keeping for resident and staff documentation., • Assist in drafting reports, meeting agendas, minutes, and internal communications., • Serve as a point of contact for phone, email, and visitor inquiries., • Support employee onboarding and helping staff get oriented on their first days., • Assist in coordinating staff meetings, training sessions, and special events., • Help process invoices, purchase orders, expense reports, and track office supplies., • Ensure compliance with agency policies and maintain confidentiality of sensitive information., • Handle incoming and outgoing mail, packages, and deliveries., • Provide support to staff in completing forms, applications, or documentation for residents. Qualifications • Associate’s or Bachelor’s degree in Business Administration, Office Management, or related field preferred., • 2–3 years of administrative experience; social services/shelter experience a plus., • Proficiency in Microsoft Office (Word, Excel, Outlook) and basic database management, • Strong organizational, time-management, and multitasking skills, • Excellent written and verbal communication; professional and discreet.
