The Operations Coordinator will work closely with the Director of Operations in managing the day-to-day operations of The Outset. This role will coordinate and oversee warehouse operations as well as B2B and D2C order fulfillment and transportation, in addition to supporting our cross-functional teams. This role is an integral part of warehouse operations and the end-to-end supply chain. Responsibilities include: Wholesale Fulfillment & Order Management • Coordinate and manage end-to-end order processing for wholesale partners., • Monitor order status, ensure timely fulfillment (ensure SLA), and proactively resolve issues. Update and maintain the order tracker and accurate status., • Collaborate with Sales and Customer Service to prioritize key accounts and urgent orders and communicate any inventory limitations., • Maintain thorough documentation to support chargeback disputes when applicable. Warehouse & Inventory Management • Serve as the day-to-day contact for 3PL warehouses or internal fulfillment teams., • Monitor inventory levels, reconcile discrepancies, and coordinate stock movement., • Support cycle counts, audits, and maintain accurate inventory records. Retailer & Platform Operations • Set up and maintain items/SKUs across retailer platforms (Amazon, Nordstrom)., • Ensure compliance with each retailer’s operational requirements (e.g., routing guides, labeling, ASN, EDI, etc.)., • Partner cross-functionally to ensure seamless onboarding of new items or promotional sets. Transportation & Logistics Coordination • Coordinate inbound and outbound shipments across wholesale, DTC (if applicable), and retail., • Schedule pickups, track shipments, and handle freight claims or issues, • Partner with freight carriers and 3PLs to optimize shipping costs and service levels. Operational Process Improvement & Reporting • Contribute to SOP development and documentation. Assist in creating dashboards and reports related to fulfillment KPIs, inventory, and logistics., • Identify process inefficiencies and propose solutions to streamline operations., • Support warehouse operations, including order flow, inventory receipts, and assembly builds within NetSuite. Office & Team Operations • Manage inbound and outbound office shipments in partnership with the Marketing Intern., • Coordinate team communications and plan internal and off-site events., • Maintain an organized and welcoming office environment: greet guests, prepare meeting rooms, manage food and beverage orders, order office supplies/snacks, and ensure cleanliness., • Manage office inventory of products, samples, and merchandise, • Oversee incoming/outgoing packages, • Partner with building management to coordinate office upkeep, payments, and maintenance needs. Qualifications and experience: • Bachelor's Degree or equivalent experience, • 1 year of experience in CPG operations or a similar role; Beauty experience highly preferred, • Experience with: EDI order processing (Spring Systems), NetSuite (ERP), Shopify (e-commerce platforms), • Proficient in MS Office (Excel, Outlook), Google Suite, • Strong organizational skills with the ability to manage and prioritize tasks effectively, • Collaborative and proactive, with the ability to work independently, • A proactive problem-solver who can surface challenges and present practical solutions, • Sound judgement and a sense of urgency, • Handle sensitive information with professionalism, discretion, and confidentiality., • Effective communication skills, both written and verbal, coupled with a high attention to detail The Outset is proud to offer a comprehensive and competitive benefits package in addition to compensation. An annual salary between $66,000 - $70,000 per year in addition to flexible paid time off, employer contributed health benefits, and generous parental leave policies.
