Job Description Key Responsibilities Front Desk & Reception • Greet visitors and customers with a professional and friendly demeanor, • Answer and route incoming phone calls, • Assist with scheduling, document preparation, and data entry, • Perform copying, scanning, filing, and electronic record management, • Maintain office supplies and coordinate with vendors, • Provide general support to multiple departments, • Ensure weekly paperwork is collected, organized, and properly filed, • Assist with maintaining the company fleet, including tracking vehicle information, scheduling maintenance, and organizing inspection documents, • Coordinate with supervisors and employees for vehicle checkouts, returns, or required follow-up, • Assist with setting up and troubleshooting iPads, cell phones, and similar devices, • Prepare devices for new employees and track equipment assignments, • Support accounts payable and accounts receivable, • Assist with invoice entry, payment posting, and gathering backup documentation, • Help maintain project and accounting files in an organized and accurate manner Qualifications • 2+ years of administrative or office support experience (construction or service industry experience a plus), • Proficiency in Microsoft Office (Outlook, Excel, Word required), • Strong written and verbal communication skills, • Strong follow-up skills and exceptional attention to detail, • Ability to handle multiple priorities in a fast-paced environment, • Tech-savvy and comfortable learning new systems or tools, • Dependable, professional, and customer-service oriented Schedule & Work Environment • Full-time, onsite at our Escondido, CA office, • Monday–Friday schedule, • Supportive, team-oriented environment with opportunities to learn and grow
