We are seeking a highly organised, proactive, and commercially aware Personal Assistant to support the COO within a fast-paced creative environment. This role requires exceptional coordination skills, discretion, and the ability to manage competing priorities across operations, talent, production, clients, and internal teams. (This is a fully office based role) Key Responsibilities Executive Support • Manage the COO’s diary, meetings, travel, and day-to-day schedule, • Coordinate internal and external meetings across multiple stakeholders and time zones, • Prepare agendas, presentations, reports, briefing notes, and meeting materials, • Screen and prioritise emails, calls, and correspondence Operational Coordination • Support delivery of operational projects and company initiatives, • Liaise with department heads, creatives, freelancers, suppliers, and clients, • Help monitor workflows, deadlines, budgets, and resource planning, • Maintain operational documentation and reporting systems, • Assist with event planning, shoots, launches, or production logistics where required Communication & Stakeholder Management • Act as a key point of contact on behalf of the COO, • Build strong relationships across internal teams and external partners, • Handle confidential and sensitive information with professionalism, • Ensure smooth communication between operational and creative teams Administrative Support • Process expenses, invoices, purchase orders, and approvals, • Organise contracts, filing systems, and digital records, • Support onboarding and coordination of freelancers or new starters, • Assist with office management tasks when needed Skills & Experience Essential • Previous experience as a PA, Executive Assistant, or Operations Coordinator, • Experience working within sports, entertainment, creative, media, or fast-moving commercial environment, • Exceptional organisational and multitasking abilities, • Strong written and verbal communication skills, • High attention to detail and ability to prioritise effectively, • Proficiency in Microsoft Office and Google Workspace, • Ability to remain calm under pressure and adapt quickly Personal Attributes • Proactive and solutions-focused, • Professional and discreet, • Confident communicator, • Highly dependable and resourceful, • Collaborative with a positive attitude, • Passionate about creative industries and culture Salary up to £65,000 plus amazing benefits.
