Apply now to immerse yourself in a role that ignites your passion and amplifies your potential! Job Description Handling incoming bookings of the UK's most successful party band. Helping plan & co-ordinate gigs, and helping manage the band at events. Office-based role in our Hampstead Garden Suburb HQ, London. Reporting directly to the Directors. Full training will be provided on the job in addition to sales training / support as required. Hours Mon – Friday – 9.30-6pm (occasional later start / finish to meet or assist clients that can’t be contacted during the day.) Weekends – Available for 2 weekend days per month as required to help manage the band at gigs – with days off in lieu or as paid overtime. Bookings/Sales Aspects of the Role • Answer all incoming enquiries calls during office hours (administer out of hours forwarded calls when required), • Prioritise contacting all incoming enquiries to gather information and progress to a proposal, • Prepare proposals via the CRM system for clients – including researching any additional costs (travel, sound, logistics), • Follow up proposals within agreed timescale, • Attend meetings with clients (evening /weekend flexibility sometimes required), • Meet clients at events for them to experience the band playing live, • Answer questions relating to the services, and convert enquiries into confirmed bookings, • Prepare and send out contracts – explain terms if required and ensure return of docs within timescale, • Arrange for deposits to be paid to confirm bookings Event Coordinator Aspects Of the Role • Send reminders and statements for payments – stay on top of payment due dates, • Liaise with venues to ensure sufficient space, power, facilities, dB levels, load in access, schedules etc, • Liaise with the in-house sound / production company (lit.co.uk) to confirm sound system requirements, • Liaise with the client regarding time-plan, meals, song choices, • Arrange travel & and logistics for the band where necessary for international travel, • Send out a pre-gig email to the band with travel details/timings / setlist any other info, • Manage wardrobe (ensure sufficient inventory, ensure everything is gig-ready and in the correct location, arrange dry cleaning as required), • Attend & Manage events – attend where necessary, or arrange & prep freelance managers to be there (as per agreed available for a minimum of 2 per month as required) This may require some international trips. Business Development, Other Aspects & Opportunities • Assist & Contribute to Ongoing Business Development Projects & help develop new products, • Maintain regular contact with existing & potential referrers (hotels, event planners, agencies, wedding suppliers etc) via email / phone / meeting / networking, • Other tasks as required – may involve administrative tasks, site visits, arranging auditions, scouting etc, • Be proactive with driving the business forward via Linked In, Social Media, Networking and other marketing channels
