Facilities Assistant Contract: Professional Services, Production & Technology Location: Luton Hours of Work: 40 Contract Type: Permanent We are seeking a reliable, proactive and professional Facilities Assistant to support the smooth running of our building and deliver exceptional service to clients and staff. This role requires someone with strong organisational skills, excellent customer service, and the ability to handle physical tasks safely and efficiently. The ideal candidate will be adaptable, positive, and eager to contribute to a high‑performing facilities team. Job Description While the main responsibility is to provide porterage and facilities support throughout the building, this is a varied role involving logistics, post room duties, event setups, and supporting contractors onsite. You will also provide cover and assistance to the wider Facilities team during periods of absence or high activity. This is a fantastic opportunity for someone who enjoys hands‑on work, problem‑solving, and working as part of a friendly, service‑driven team. Key Responsibilities • Provide porter support across the building, transporting goods, equipment, and materials safely and efficiently., • Set up meeting and conference rooms in line with client requirements, ensuring rooms are clean, organised, and fully stocked., • Run the post room when required, managing mail collection, sorting, deliveries and collections from around the building., • Escort contractors onsite and ensure all Control of Contractor procedures are followed., • Maintain high standards of customer satisfaction, responding positively and professionally to requests., • Check job sheets regularly and complete tasks within agreed timeframes., • Follow building security procedures when transporting items and accepting deliveries., • Assist the M&E and cleaning teams where required, including waste removal., • Communicate clearly and professionally with colleagues, clients and contractors at all levels., • Support with any additional facilities tasks as required to ensure smooth day‑to‑day operations., • Work within all Health & Safety policies, reporting non‑conformances or opportunities for improvement. Professional and Personal Competencies / Qualifications • Physically fit and capable of handling a wide range of items daily., • Strong organisational ability with the capacity to respond to multiple requests., • Positive, flexible attitude with the ability to work calmly under pressure., • Clear communicator with professional interpersonal skills., • Able to build good working relationships and provide excellent customer service., • Comfortable working independently and using initiative., • Working knowledge of Microsoft Office Suite (Word, Excel, Outlook)., • Professional, courteous manner at all times.
