Job Description Compliance Program Manager Behavior Frontiers, LLC is a leading agency providing applied behavior analysis (ABA) treatment to help children with autism and other special needs to reach their full potential. Our expert team of Board-Certified Behavior Analysts (BCBAs) and highly trained behavior instructors use state-of-the-art ABA methods to teach children social, communication, play, cognitive, and self-care skills, while reducing problem behaviors. We are seeking energetic and career-minded individuals to join our team. Availability: Monday – Friday 4 days in office, 1 day working from home, travel as needed Locations: El Segundo/BFHQ Job Requirements: Position Summary · The Compliance Program Manager – Center Development, Implementation & Training Oversight manages the Compliance Department’s program implementation function, including new center compliance readiness, compliance initiative rollout, compliance training coordination, cross-functional follow-up, evidence tracking, readiness standards, and operational execution for major compliance workstreams. · This role converts compliance requirements, payer expectations, regulatory readiness items, leadership decisions, corrective actions, and approved policy/procedure changes into clear implementation plans with owners, timelines, evidence expectations, training steps, communication plans, escalation pathways, and closure documentation. · The Compliance Program Manager partners with Compliance leadership and cross-functional departments to support consistent implementation across centers, states, and departments. Compliance auditing staff remain within the Auditing & Monitoring reporting line when the Audit Manager structure is implemented. Essential Duties and Responsibilities Manage Compliance Program Implementation Workstreams · Manage assigned compliance implementation workstreams from planning through closure, including owners, timelines, dependencies, evidence expectations, communications, training requirements, and escalation points. · Translate approved compliance initiatives, audit findings, corrective action requirements, payer expectations, regulatory readiness items, and leadership decisions into structured implementation plans. · Maintain implementation trackers, action logs, owner matrices, evidence logs, readiness boards, communication logs, and status summaries. · Facilitate implementation meetings and follow-up reviews with department owners. · Escalate unresolved barriers, overdue items, unclear ownership, missing evidence, or implementation risks to Compliance leadership. Manage New Center Development and Compliance Readiness · Manage compliance readiness for new center openings, relocations, expansions, buildouts, state expansion activities, and significant operational changes. · Maintain readiness checklists covering postings, notices, policy access, binders, privacy readiness, audit evidence, payer readiness, licensing or registration, and compliance training. · Track readiness gaps, risks, owners, due dates, evidence locations, and escalation needs before go-live. · Coordinate with Operations, Facilities, Credentialing, HR/Training, Clinical Operations, Billing and Authorizations, IT/Security, Payor Relations, and Compliance. · Support pre-opening and 30/60/90-day post-opening follow-up reviews where assigned. Manage Compliance Training Rollout and Adoption Support · Manage compliance training rollout plans for compliance initiatives, policy/procedure implementations, payer updates, corrective actions, center readiness, and department-specific requirements. · Partner with HR/Training and department leaders on assignments, timelines, communications, completion tracking, attestations, and follow-up reminders. · Maintain training plans, communication logs, audience lists, completion reports, attestation tracking, and follow-up documentation. · Support practical materials such as FAQs, job aids, workflow guides, readiness checklists, training decks, and talking points. · Escalate completion gaps, overdue audiences, missing attestations, unclear ownership, or implementation barriers. Manage Implementation Tools, SOPs, and Process Improvement · Manage Compliance implementation boards, Monday.com workflows, project plans, action logs, training rollout trackers, and readiness dashboards. · Ensure tools clearly show owners, due dates, status, evidence requirements, training status, escalation notes, and completion criteria. · Develop implementation standards, readiness standards, SOPs, checklists, routing guides, evidence standards, and center-readiness tools. · Lead lessons-learned reviews and create repeatable playbooks that support consistent execution across centers, states, and departments. People Leadership and Analyst Supervision · Supervise assigned Compliance Analyst positions, including analysts supporting compliance operations, program implementation, reporting, and audit support. · Coordinate analyst workloads, priorities, assignments, coaching, performance management, and day-to-day direction. · Establish expectations for documentation quality, reporting accuracy, timely follow-up, tracker maintenance, evidence retention, and escalation practices. · Support future buildout for additional Compliance Analysts and implementation, training/education, center readiness, or other program support roles. · Coordinate staffing and capacity needs with Compliance leadership when operational volume exceeds existing resources. Cross-Functional Partners · Compliance leadership · Operations and Center Leadership · Center Development / Facilities / Real Estate · Credentialing · Clinical Operations · Billing and Authorizations · Human Resources / Training · Information Technology / Security · Payor Relations, where applicable · Legal Counsel, when legal or regulatory review is needed · Compliance Reporting & Audit Support Leadership and Ownership Expectations · Own assigned implementation workplans, center readiness trackers, training rollout trackers, follow-up logs, and implementation evidence. · Create structure where each project has owners, due dates, evidence expectations, training needs, communication steps, escalation notes, and closure criteria. · Drive cross-functional follow-through while preserving the distinction between Compliance oversight and operational department ownership. · Escalate risk promptly when requirements, ownership, training completion, evidence, deadlines, or launch readiness are at risk. · Maintain professionalism, confidentiality, sound judgment, and strong documentation practices. · Other duties as assigned. Qualifications: Required Qualifications Preferred Qualifications · Bachelor's degree required in Healthcare Administration, Compliance, Business Administration, Project Management, Public Health, Training/Organizational Development, Legal Studies, or related field. · Four or more years of healthcare compliance, operations, training coordination, project management, center development support, payer readiness, regulatory readiness, credentialing, or related experience. · Experience managing cross-functional projects with competing deadlines and evidence requirements. · Strong organization, follow-through, communication, meeting facilitation, writing, documentation, and attention-to-detail skills. · Behavioral health, ABA, Medicaid, payer readiness, training rollout, state expansion, or multi-state provider experience. · Experience with new center openings, licensing readiness, policy implementation, corrective action implementation, or operational launch projects. · Experience with Monday.com, SharePoint, Teams, Excel, learning-management systems, or project management tools. · Experience directly supervising Compliance Analysts, project support staff, coordinators, or cross-functional workgroups preferred. · PMP, CAPM, CHC, CCEP, Lean/Six Sigma, or related certification preferred.
