Job Description This is a remote position. Paradigm is searching for a Paralegal, to support our client, a global leader in the legal industry. The Paralegal manages end-to-end docketing for domestic and international trademark matters, driving accuracy, completeness, and on-time execution of all deadlines. The role requires hands-on expertise with Patricia (PATRICIA IP Management Software) and close coordination with in-house counsel, outside counsel, and business stakeholders. Experience in oil & gas or the broader energy sector is preferred but not required. As a Paralegal you will: • Maintain and audit the trademark docket across U.S. and international portfolios (USPTO, WIPO/Madrid, and foreign associates), including applications, renewals, declarations, office actions, TTAB proceedings, oppositions/cancellations, and enforcement watch actions., • Enter, verify, and update critical dates, statuses, and dependencies in Patricia (event rules, reminders, workflow triggers); generate reports/dashboards for attorneys and business clients., • Monitor daily correspondence (USPTO, WIPO, foreign associates, watch services); calendar and summarize action items with appropriate lead time., • Prepare, file, and track submissions (e.g., TEAS forms, Statements of Use, Declarations of Use/Excusable Nonuse, Renewals/§9, Madrid designations/renewals) under attorney supervision; liaise with foreign counsel on local filings and formalities., • Support clearance and enforcement workflows (search requests, watch notices, cease-and-desist tracking, online marketplace takedowns) and maintain accurate records of disputes, settlements, and coexistence agreements., • Preserve chain-of-title integrity (assignments, name changes, corporate restructurings) and coordinate recordation with USPTO Assignments and foreign registries., • Produce routine portfolio and KPI reports (upcoming deadlines, filing pipelines, renewal schedules, budget vs. actuals) and fulfill ad hoc data requests., • Develop/maintain SOPs, data-quality checks, and escalation paths; recommend process improvements to enhance integrity, speed, and compliance., • Coordinate with A/P and vendors (invoices, estimates, accruals); reconcile docket events with billing records., • Partner with brand/marketing/product and regional business units to align filings and usage guidelines with go-to-market timelines. Requirements Our skills and experience wish list includes: • 3+ years of trademark docketing experience in a law firm or in-house legal department., • Demonstrated proficiency with Patricia (PATRICIA IPMS) for trademark docketing, reporting, and rules-based calendaring., • Strong working knowledge of USPTO procedures, WIPO/Madrid Protocol, and common foreign filing/renewal practices., • Exceptional accuracy and attention to detail in high-volume, deadline-driven environments; disciplined follow-up and escalation., • Excellent written and verbal communication; clear deadline summaries and reliable stakeholder coordination., • Proficiency with Microsoft Excel/Word/Outlook (e.g., lookups, pivots, data validation) or equivalent reporting tools., • Experience supporting clients in oil & gas and/or energy (upstream, midstream, downstream, or renewables) and familiarity with industry naming conventions, product lines, and regulatory sensitivities., • Exposure to enforcement workflows (watch services, marketplace takedowns, UDRP coordination) and brand governance programs., • Experience with additional IPMS platforms (e.g., Anaqua, CPI, FoundationIP, Memotech) and document management systems., • Bachelor’s degree preferred; Paralegal Certificate a plus.
