To be considered, please include a bullet in your resume or application titled ‘System I Improved’ with one sentence describing a process or system you helped streamline KTS Enterprise is a mobile diesel repair company looking for a proactive, tech‐savvy Office Manager to own and improve our office operations in a fast‐paced environment. This is a part‐time (20–25 hours per week) role with a mix of on‐site and remote work, ideal for someone who loves building systems, streamlining processes, and guiding an existing office assistant. Summary The Office Manager is responsible for organizing, coordinating, and continuously improving all office operations to support our technicians, leadership, and customers. You’ll work closely with an existing office assistant who is strong on phones and scheduling but needs clear structure, priorities, and systems to follow. You will handle higher‐level tasks such as building processes, managing financial‐related office work (estimates, invoicing), and keeping projects on track. This is a part-time, hourly position without employer-sponsored benefits. It provides flexibility, significant responsibility, and the opportunity to help build and refine our office systems. What You’ll Do • Own day‐to‐day office workflows and keep things moving in a fast‐paced diesel repair environment., • Set clear daily and weekly priorities for the office assistant and follow up to ensure tasks and projects are completed on time., • Build and document simple SOPs, checklists, and templates for recurring tasks (estimates, check‐ins/outs, follow‐ups, filing, etc.)., • Provide structure, coaching, and accountability for the office assistant (phones, scheduling, basic admin)., • Handle financial‐sensitive tasks, including creating estimates, reviewing invoices, and basic reporting., • During on‐site days: greet customers and vendors, support the front desk, and handle escalated or more complex customer situations., • Oversee check‐in/check‐out of units and ensure documentation and keys are handled accurately., • Maintain accurate digital records and an organized electronic filing system., • Monitor office and shop supplies and place orders as needed., • Identify bottlenecks in office processes and implement improvements to make the office more efficient and predictable., • As the company grows, help onboard and oversee additional office staff. Schedule • 20–25 hours per week, part‐time., • Hybrid; a mix of on‐site and remote work., • Example structure (flexible based on business needs):, • 2 on‐site days per week (Monday and Friday, 4–5 hours each) focused on planning, coaching, observation, and in‐person needs., • 1–2 remote work blocks per week for estimates, invoicing, follow‐ups, reporting, and system building. What We’re Looking For • Strong proficiency with technology and comfort learning new software., • Proficiency in Microsoft Office, especially Excel, Word, and Outlook., • Experience with QuickBooks or similar accounting software preferred (or ability to learn quickly)., • Excellent verbal and written communication skills and a strong customer service mindset., • Strong organizational, planning, and problem‐solving skills., • Strong time management, attention to detail, and follow‐through., • Ability to multitask and prioritize in a fast‐paced, changing environment., • Ability to work independently, take initiative, and also collaborate with leadership and the office assistant., • A natural systems‐builder: we want to improve processes, not just follow them. Education & Experience • 2–3 years of experience in an office support, coordinator, or office manager role., • Experience in automotive, diesel, construction, or other trades/service environments is a plus., • High School Diploma or GED required., • Associate’s or Bachelor’s degree preferred but not required.
