About the Role: The Systems and Support Specialist is a hybrid position that combines the responsibilities of an Intake Specialist with dedicated time for systems administration and internal support. This role is essential to ensuring the Intake Department’s technology infrastructure operates efficiently and securely, while also providing responsive, high-quality support to internal users. This team member will manage user access, maintain and troubleshoot software and hardware systems, and serve as the first point of contact for technical support requests. They will also play a key role in communicating system updates, creating user-friendly documentation, and supporting the rollout of new tools and technologies. The Systems and Support Specialist ensures that our internal systems empower our team to serve clients effectively. By maintaining operational continuity, resolving issues quickly, and supporting the adoption of new technologies, this role directly contributes to the firm’s mission of guiding people through adversity with compassion and excellence. What You’ll Do System Administration • Create, manage, and deactivate user accounts and access permissions., • Install, configure, and maintain software and hardware systems., • Monitor system performance and troubleshoot issues., • Maintain documentation for system configurations and procedures., • Serve as the primary intake point for issue tracker related requests and incidents., • Triage and prioritize incoming support tickets., • Communicate with users to gather requirements and provide timely updates., • Escalate complex issues to appropriate technical teams., • Prepare and deliver internal updates on system changes, maintenance schedules, and new tools or features., • Create user-friendly guides, FAQs, and training materials for system rollouts., • Host briefings or training sessions onboard users to new systems or updates. Education: • System Administration: Ability to manage user accounts, permissions, and system configurations., • IT Support & Troubleshooting: Proficiency in diagnosing and resolving hardware, software, and network issues., • Help Desk Tools: Experience with ticketing systems (e.g., Zendesk, Freshdesk, Jira, or similar)., • Software & Hardware Proficiency: Familiarity with office productivity tools (e.g., Microsoft 365), and basic hardware setup and maintenance., • Security Awareness: Understanding data privacy, access control, and compliance best practices. Analytical & Project Management Skills • Problem Solving: Ability to identify root causes and implement effective, sustainable solutions., • Project Execution: Capable of managing timelines, milestones, and deliverables for systems improvement projects., • Documentation: Skilled in creating clear, user-friendly documentation, guides, and training materials., • Trend Analysis: Ability to track and analyze support trends to inform process improvements. Interpersonal & Communication Skills • User Support & Empathy: Strong customer service mindset with the ability to communicate technical information to non-technical users., • Collaboration: Comfortable working cross-functionally with legal, operations, and leadership teams., • Training & Onboarding: Ability to lead briefings or training sessions for new tools or system updates., • Clear Communication: Strong written and verbal communication skills for updates, documentation, and support interactions.
