Job Description This seat sits between the finance team and the client service teams. You'll own the billing cycle from open job to cash collected, keep work in progress clean and current, and handle the day to day bookkeeping that keeps the books close ready. It reports to the Controller and works closely with account leads, producers, and partners. If you've billed in an agency, studio, publisher, or any shop where revenue runs through jobs and client contracts rather than a product SKU, this will feel familiar. Client Billing and Work in Progress You'll build and maintain the billing profile for each client. That means knowing how every account is papered: retainer, fixed fee, time and materials, milestone, media commission, or some blend of all of them, and billing it the way the contract says. Day to day that looks like: • Prepare, review, and finalize client invoices on the monthly billing cycle, • Track WIP by job and client, including unbilled time, pass through costs, third party vendor charges, and out of pocket expenses, • Reconcile estimates to actuals and flag jobs running over before they turn into a write down, • Sit with account leads and partners to review WIP, release billable work, and clear stale time, • Process adjustments, write ups, write downs, credits, and rebills, • Apply retainer draws and reconcile retainer balances, • Code and recharge production costs, freelancer invoices, and vendor costs to the right job, • Keep billing documentation organized and audit ready Accounts Receivable • Monitor aging and chase outstanding invoices without burning client relationships, • Apply cash and reconcile deposits, • Work through billing disputes and short pays with the account team, • Report on collections and DSO to the Controller Bookkeeping and Month End • Handle AP, expense coding, and daily transaction entry, • Prepare and post journal entries and maintain the general ledger, • Reconcile bank accounts, credit cards, and balance sheet schedules, • Support the monthly and quarterly close, including accruals, deferred revenue, and variance analysis, • Assist with revenue entries tied to job activity and percentage of completion where it applies, • Pitch in on year end, audit requests, and whatever special projects the Controller throws your way What We're Looking For • 3 to 5 years in billing, AP/AR, or general accounting, ideally inside an agency, media company, law firm, consultancy, or CPA firm, • Bachelor's degree in Accounting, Finance, or something close, • Real comfort with WIP, retainers, unbilled time, utilization, realization, and project based revenue, • Experience with a job costing or practice management system. Advantage, Workamajig, Deltek, NetSuite, Function Point, Harvest, Canopy, Office Tools, or similar, • QuickBooks Online or comparable general ledger software, • Strong Excel. Lookups, pivots, and reconciliations without hand holding, • Someone who spots a broken process and wants to fix it rather than work around it, • Clear communicator. A good chunk of this job is asking busy account people for things and getting them, • Careful with detail, organized under deadline pressure, and discreet with financial information
