Job Description Position Summary / General Scope: The Administrative Clerk is responsible for providing administrative support to the Billing and Revenue Cycle department. Addressing and facilitating incoming calls, directing them appropriately and in a timely manner. Accurately maintaining and organizing incoming correspondence and mail and performing data entry and administrative tasks for the department. Key Responsibilities • Greeting and assisting customers and vendors in a professional and courteous manner and directing them to the department or scheduled appointment., • Answering incoming calls and routing to the appropriate person/department, • Maintaining the reception area in a clean, organized and tidy manner., • Open and close reception area, ensuring properly staffed and phones are live during business and operating hours (M-F 8:30am-5:00pm), • Process daily mail, including deliveries, and ensure delivery to proper recipient, • Print and process claims, bills and other forms on a daily basis, • Process specialized contracts on a monthly and bi-weekly basis according to contract specifications, • Process and transmit EDI batches daily according to standards, • Follow up on EDI batches daily to ensure batches have been accepted and rejected batches/claims are reprocessed same day, • Monitor funds on postage machine, • Monitor and manage all office inventory, including all paper, envelopes and forms, • Process Medical Record Requests, • Assist with and complete additional projects as needed or necessary, • Maintains knowledge of and complies with all company policies, procedures, and guidelines at all times., • Must maintain a reliable attendance record, • High school diploma or GED equivalent., • 1+ years of experience in administrative/office environment, • Experience with computer systems required, including web-based applications and some Microsoft Office Applications preferred., • Communicate effectively, both verbally and in writing; ability to understand and carry out verbal and written instructions., • Analytical skills to gather and interpret data, • Ability to exercise sound judgment and discretion at all times, • Strong interpersonal skills, • Excellent organization skills: attention to detail and follow-through, • Resolve issues quickly and efficiently, • Able to multitask, take charge and ownership of tasks, • Ability to work independently and in a team setting, • Handle highly confidential information with complete discretion, • Must be minimum of 18 years of age, • Ability to meet the essential duties and physical, mental and sensory requirements of the position at all times., • Comply with UDS drug screening at any and all times Physical Requirements • Stationary Position: Frequently required to sit for long periods at a desk., • Manual Dexterity: High level of finger dexterity to operate computers, calculators, and office machinery., • Handling/Reaching: Frequent need to reach with hands/arms, handle files, and feel objects., • Lifting/Moving: Ability to lift, carry, or move documents, files, or office equipment (typically up to 10-25 pounds)., • Organization: Exceptional organizational and time-management skills to handle daily tasks., • Attention to Detail: Ability to input data accurately and read fine statistical reports., • Communication: High-level verbal and written communication skills, including professional telephone etiquette., • Vision: Close vision, peripheral vision, depth perception, and ability to adjust focus to read computer screens and printed documents., • Hearing: Ability to hear and understand speech in person and on the telephone., • Speech: Ability to communicate clearly in person and via phone.
