Summary of Responsibilities: The Billing Coordinator is responsible for the preparation of monthly billing statements, the monitoring of delinquent work in progress, and preparing the monthly reconciliation for all client accounts. This position is also required to perform administrative functions to ensure effective, efficient administrative support for the Finance Department as needed. Billing • Ensure accurate and timely billing by coordinating with other departments, • Prepare and send invoices for professional services to clients, • Independently bill recurring third-party fees to clients, • Review invoice requests to ensure they meet internal realization and fee increase guidelines, • Monitor billing queues and follows corresponding billing workflow processes, • Confirm accuracy of billing requests with client engagement letters, • Support partners and managers in obtaining monthly billing goals, • Follow up with partners and managers on billing discrepancies, • Conduct research on internal billing questions, • Handle client communication as directed, • Collaborate with billing assistants and other staff to ensure smooth workflow and issue resolution, • Assist in maintaining accurate billing and contract records, procedures, and documentation, • Troubleshoot incomplete client projects to find billing opportunities, • Supports the month-end WIP reconciliation process, • Contribute to system/process improvements, automation, and efficiency initiatives in billing operations, • Maintain client database, • Handle new client requests, • Assist with internal client transitions, • Experience with professional services billing (legal, consulting, accounting, etc.), • Familiarity with client contracts, engagement letters, and fee arrangements, • Experience working with billing, time-entry, or ERP systems (e.g., NetSuite, SAP, QuickBooks, Aderant, or similar)., • Strong analytical and problem-solving skills, • Ability to multitask and operate within various industry-specific software, • High attention to detail and accuracy, • Excellent organizational and time management skills, • Strong communication skills and ability to work cross-functionally, • Ability to prioritize tasks, • Ability to work independently while contributing to a collaborative team environment, • General knowledge of tax filings is preferred, • Ability to handle sensitive and confidential information, • Ability to work 40 hours per week with occasional overtime, • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards, • Must be able to talk, listen and speak clearly on the telephone, • Prolonged periods of sitting at a desk and working on a computer, • The ideal candidate will have experience in a public accounting or professional services environment, demonstrate exceptional attention to detail, and bring strong system and reporting capabilities to the team., • High school diploma or equivalent required; Associate's or bachelor's degree in Accounting preferred, • At least two years of related experience required Our story is one of solid growth, premier service, quality work, employee satisfaction, and business diversification.
