Job DescriptionAdministrative Assistant - Legal Team LHH Recruitment Solutions is seeking a Legal Administrative Assistant for a contract-to-hire opportunity with a growing legal and corporate services team in Tampa, Florida. This position serves as a critical administrative partner to the Legal Department, helping organize workflows, maintain records, manage legal documentation, track deadlines, and support litigation, contracts, regulatory matters, escalations, and HR-related activities. This role is ideal for an organized, detail-oriented administrative professional who enjoys managing multiple priorities, learning new systems, and supporting a collaborative legal team. While prior legal experience is helpful, the hiring team is focused on finding someone with exceptional organizational skills, strong technology aptitude, and a proactive approach to learning and contributing. Day-to-Day Responsibilities • Maintain and organize legal department records, files, and documentation., • Track litigation matters, subpoenas, compliance deadlines, claims, contracts, and other legal activities through logs and reporting tools., • Prepare, edit, and format correspondence, legal documents, presentations, reports, meeting materials, and spreadsheets., • Support legal due diligence projects by organizing information, maintaining trackers, and coordinating document requests., • Assist with contract administration, vendor agreements, approvals, and document retention., • Coordinate legal accrual reporting and gather information from internal stakeholders and outside counsel., • Manage legal and vendor invoices, expense reports, and related documentation., • Calendar important deadlines, hearings, filings, meetings, and follow-up activities., • Monitor project timelines and ensure outstanding action items are completed., • Support departmental operations, including handling office mail and maintaining an onsite administrative presence., • Coordinate meetings, schedules, and administrative projects for members of the Legal Department., • Communicate professionally with internal departments, outside attorneys, vendors, consultants, government agencies, and other stakeholders.Key Responsibilities, • Serve as the administrative backbone of the Legal Department., • Maintain accurate records, trackers, and organizational systems., • Ensure legal documentation is filed, stored, and maintained according to department procedures., • Assist team members with competing priorities across legal, HR, compliance, and operational initiatives., • Help improve processes and identify opportunities to enhance department organization and efficiency., • Handle confidential and sensitive information with discretion., • Learn legal processes and department procedures while contributing to overall team success.Required Qualifications, • High School Diploma or GED required., • 1+ year of administrative, office support, legal support, or related professional experience., • Strong proficiency in Microsoft Office Suite, particularly Word, Outlook, and Excel., • Experience managing files, records, trackers, databases, or document management systems., • Excellent organizational skills and attention to detail., • Ability to prioritize multiple projects and meet deadlines in a fast-paced environment., • Strong written and verbal communication skills., • Ability to work independently while supporting multiple stakeholders., • Comfortable learning new software, systems, and business processes., • Ability to handle confidential information professionally and appropriately.Preferred Qualifications, • Previous experience supporting a legal department, attorney, law firm, compliance team, contracts team, or corporate administration function., • Experience using Smartsheet for project tracking, reporting, or workflow management., • Familiarity with Workday or similar enterprise systems., • Experience working in healthcare, employee benefits, insurance, or other regulated industries., • Knowledge of litigation tracking, subpoenas, claims administration, contract management, or legal operations., • Active Notary Public certification or willingness to become a Notary after permanent hire (company-sponsored)., • Associate's degree or additional education in Business Administration, Legal Studies, Paralegal Studies, or a related field.Pay Details: $20.00 to $21.00 per hour Search managed by: Jason Timothy Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
