Job Description Large International Oil & Gas Company seeking a contract Executive Assistant to the Tax Department for an indefinite contract position. APPLY TODAY! Position: Executive Assistant to the Tax Group Location: Downtown Houston Parking: $150/month parking allowance Pay: Up to $38.50/hour Benefits: 2 weeks PTO & Holiday Pay Contract Duration: Indefinite Hours: 9 AM ? 5 PM ? 100% in-office with some flexibility Position Overview Coordinates the activities of the Tax department by ensuring smooth flow of business activities for the VP, department, and stakeholders. Supports the VP with communications, correspondence, calendar management, meeting and event coordination, expense reporting, travel arrangements, and other activities as required. Coordinates with other Executive Assistants to ensure efficient exchanges at the executive level. Key Responsibilities * Comply with all site safety policies and practices; promote departmental safety activities and objectives. * Follow anomaly reporting and alert VP in case of deviation. * Continuously monitor VP’s calendar for changes or overlap and anticipate upcoming needs. * Maintain organizational calendar. * Supervise administrative responsibilities, including mail/post distribution and office supplies. * Maintain departmental distribution lists. * Provide administrative support to the VP and direct reports as needed. * Prepare expense reports for the VP and direct reports in a timely manner. * Prepare and organize regular management meetings in coordination with the management team. * Plan and organize department events, both onsite and offsite. * Coordinate and ensure presentations for the VP Finance and other meetings are completed on time and preparation meetings are scheduled. * Facilitate departmental onboarding and offboarding of employees. * Generate purchase orders and follow up on invoice payments for VP’s cost centers. * Assist with budget planning and ad hoc projects as needed. * Submit maintenance requests and follow up to completion. * Generate IT request tickets and liaise with IT on issues such as mobile phone or laptop malfunctions. * Act as the office manager (office plans, supplies, etc.) and foster a positive team environment. * Perform other duties as assigned. Work Environment * Requires working both independently and in a team setting. * Frequent exposure to an international business environment. * Strong communication skills and cultural awareness are essential for coordinating with executives, other departments, and external stakeholders. Qualifications * Bachelor’s degree preferred. * 5+ years of administrative experience, including at least 2 years in an executive support role. * Excellent written and verbal communication skills. * Strong interpersonal and leadership abilities. * Effective prioritization and time management across multiple projects. * Ability to work in an international, fast-paced environment while maintaining confidentiality. * Proficiency in MS Word, Excel, and PowerPoint; SAP experience preferred. * Experience in event/meeting planning, calendar management, and domestic/international travel arrangements.
