Company Description Founded on March 31st, 2020, the American Indian Cultural District (AICD) is the first established Cultural District of its size in the United States dedicated to recognizing, honoring, and celebrating the American Indian legacy, culture, people, and contributions. Role Description: AICD is currently seeking a full-time Operations & Events Coordinator. Reporting to the Executive Director, this role is responsible for providing high-level support to help achieve performance goals and advance organizational initiatives in a fast-paced environment. This position will play a critical role in delivering operational, administrative, and event support to ensure the organization runs efficiently and successfully advances the purpose and vision of the American Indian Cultural District. This is a full-time, in-person position requiring a flexible schedule, which includes attending occasional meetings and events on evenings and weekends. For more information about the American Indian Cultural District (AICD) please visit: Key Responsibilities: Operational Support • Manage and process purchase requests, invoices, payments, orders, and monthly credit card statements to ensure accurate and timely financial operations., • Oversee and maintain AICD’s core operational platforms, including the G-Suite organizational drive, AICD Annual Events & Activities Calendar, and Grant Deliverables Tracker., • Coordinate payment processing and scheduling with the Projects & Program Lead to support events and organizational initiatives., • Support event planning and execution by developing supply lists, ordering materials, maintaining and updating logistics documents, monitoring budgets and expenses, sending reminders, helping with set up and breakdown, and creating event layout maps., • Prepare and coordinate logistical and administrative aspects of conferences, meetings, presentations, conference calls, programming, and events as needed., • Draft and edit key organizational updates, including Leadership Council reports, Director’s reports, presentations, weekly team meeting agendas, and monthly grant report narratives., • Monitor organizational email correspondence, draft responses, manage scheduling, and communicate updates on critical and time-sensitive action items., • Partner with Engagement Coordinator to oversee AICD general email inbox and maintain an up-to-date call request log to ensure timely responses both verbally and in writing for the main office line., • Performs additional tasks as needed to support project needs and organizational goals, • Work with AICD staff to maintain office cleanliness and support clean up following programs and events, • Provide weekly status updates on assigned projects and monthly program status reviews Qualifications: • A minimum of four years of work or equivalent professional experience related to one or more areas: operations, administrative support, executive support, program or project coordination, event management, office support, stakeholder coordination, professional correspondence, and or community or public engagement., • Familiarity with nonprofit, cultural, community-based, or city organizations is highly desirable., • Proven record of planning, coordinating, and executing events, meetings, and public programs., • Strong written and verbal communication skills, including drafting reports, presentations, and correspondence. Must be organized with high attention to detail in composing, typing, and proofing., • Experience supporting executive leadership and or teams, tracking action items, and managing multiple projects in a fast-paced environment., • Experience managing budgets, processing payments, maintaining organizational records or platforms., • Experience with or ability to quickly learn platforms such as Canva, G-Suite, and Excel., • Strong written and verbal communication, with the ability to tailor messaging for diverse audiences and effectively engage senior leaders and external partners., • Availability to attend events and urgent meetings, including evenings and weekends as needed., • Ability to meet strategic objectives, take initiative, and openness to learning and supervisor feedback., • Flexible, responsive, and able to work independently or collaboratively., • Ability to manage multiple priorities in a fast-paced, multi-project environment., • Ability to lift and move items up to 40 lbs., • Strong listening skills, patience, emotional intelligence, and ability to navigate diverse viewpoints., • Alignment with the purpose, vision, and goals of the American Indian Cultural District., • Knowledge of, or willingness to learn about, American Indian culture and values; experience working with the community preferred., • High integrity and sensitivity to racial, gender, social, and cultural diversity., • Ability to be flexible as job duties are subject to change to meet the needs and demands of a fast-paced environment and small team of staff The American Indian Cultural District (AICD) is a fiscally sponsored project of the San Francisco Study Center, a 501(c)(3) nonprofit organization that provides administrative, fiscal, and human resources support to community initiatives throughout the Bay Area. While day-to-day work is directed by AICD, all employment, payroll, and benefits administration are managed by the San Francisco Study Center. Compensation & Benefits Salary $73,500.00 - $83,500.00 annually based on experience and qualifications. Schedule This is a full-time, in-person role. Standard work hours are 8:30 AM – 5:00 PM, with some flexibility depending on events and meetings. Occasional evenings and weekends are required for meetings and events. Pay Schedule Employees are paid on a semi-monthly basis (twice per month).
