SUMMARY: The Medical Logistics Manager is responsible for executing the standard operating procedures (SOPs) that govern the day-to-day operations of the VETS Distribution Center. This role ensures efficient and precise handling, storage, replenishment, and shipping of surgical instruments, implants, and trays to healthcare facilities throughout the country. This position is located at 219 Tampico Street in San Antonio, Texas, the center operates as a collaborative effort between South Texas Housing and Development (a subsidiary of the American GI Forum National Veterans Outreach Program) and BK Meditech USA. JOB DUTIES & RESPONSIBILITIES NOTE: These job duties are not all-encompassing of the responsibilities and duties (or other terms) that are required of the employee and may change at any time with or without notice. Receiving: • Accept incoming packages (kits, trays, or sets) from carriers (e.g., FedEx)., • Document receipt with photographs of the package, shipping label, and tracking number., • Open packages and document details (e.g., sender, date, product type) on a dry erase board., • Inspect the contents of trays for accuracy and condition., • Rectify and document missing items or discrepancies, contacting the sender if necessary., • Return completed trays to stock with any replenishments. Shipping: • Process replenishment requests received via email, text, phone, or Implant Base., • Verify accuracy of all orders pulled from stock (double-check each order)., • Prepare and validate shipping labels through FedEx or Southwest Airlines Cargo., • Package items securely based on their type (e.g., bubble wrap envelopes for small items, airline-approved containers for trays)., • Ensure all shipments meet priority overnight deadlines for expedited delivery., • Include return shipping labels when necessary. Packaging and Documentation: • Create and secure packages to prevent movement or damage during transit., • Photograph all completed shipments as documentation., • For Implant Base orders, print and anonymize sales orders before processing. Special Handling: • For trays, ensure proper packing and labeling in airline-approved containers with industrial zip ties for added security., • Coordinate shipments through FedEx and Southwest Airlines Cargo, ensuring compliance with air transport procedures. Administrative Duties: • Maintain detailed records of inventory, shipments, and discrepancies., • Communicate promptly with representatives, hospitals, and vendors regarding order status or issues., • Track shipments and update receivers with relevant details. Collaboration: • Work closely with BK Meditech USA to ensure all necessary surgical components are available for distribution., • Support South Texas Housing and Development’s mission by allocating a portion of proceeds to assist homeless veterans with essential items. Requirements: • Experience in logistics, inventory management, or medical distribution preferred., • Proficiency in using inventory systems (e.g., Implant Base) and shipping platforms (e.g., FedEx, Southwest Cargo)., • Strong attention to detail and organizational skills., • Excellent communication and problem-solving abilities., • Commitment to supporting veterans and improving their quality of life. TRAVEL Primarily local during business day although some out-of-area travel may be expected via airline or automobile based on the discretion of management. WORK ENVIRONMENT While performing the duties of this position, the employee will conduct office work, meet with clientele, and team members, and at times travel offsite to conduct business. Employee may be exposed to varying weather conditions. Employee will also be required to work in varied office and residential environment based on assigned caseload. Employee will be able to handle and de-escalate situations that may arise while at work.
