Job Description POSITION DESCRIPTION & EXPECTATIONS 1. Job Title & Position Information Job Title: Office and Scheduling Assistant Reports To: Scheduling Supervisor Employment Type: Regular Schedule: Monday–Friday, 7:30 a.m.–5:30 p.m.; occasional after‐hours collaboration as required Compensation: Hourly Wage – $16.00 - $22.00 per hour 2. Position Summary The Office and Scheduling Assistant supports daily office operations, scheduling, and coordination activities for construction and telecommunications projects. This role ensures field technicians, service calls, and ongoing project requirements—both local and out‐of‐town—are fully prepared and supported. The Assistant plays a key role in communication, resource coordination, documentation, and maintaining organizational structure. The position begins each day by preparing technicians for successful dispatch and actively supports multiple departments with administrative, scheduling, and operational tasks. 3. Core Responsibilities 3.1 Administrative & Scheduling Support • Manage daily scheduling for technicians, service calls, and project activities, • Coordinate all related job needs: vehicles, tools, equipment, documentation, materials, points of contact, • Answer phone calls to assist clients with questions, troubleshooting, or routing to appropriate departments, • Monitor email and calls to direct clients to correct channels, • Prepare statements, reports, memos, invoices, letters, and other required documentation, • Support Office Manager and Scheduling Supervisor with additional duties as assigned 3.2 Tools, Systems & Documentation Standards • Utilize Buddy Punch for scheduling and time tracking, • Maintain communication using Microsoft Teams, • Use Microsoft 365 (Outlook, Word, Excel, SharePoint) for productivity and documentation, • Prepare, organize, and maintain filing systems, office supplies, and general office organization, • Manage and track company assets including tools, equipment, and assigned materials, • Verify and collect receipts for daily job‐site expenses 3.3 Resource Coordination Support • Coordinate inventory for service‐call materials and restock as needed, • Provide documentation support for technicians and project management, • Collaborate regularly with field, warehouse, subcontractor, and project teams, • Prepare daily expectations and assist with end‐of‐day review requirements 4. Short‐Term Expectations (First 30 Days) • Demonstrate consistent, accurate use of Buddy Punch, Microsoft Teams, and Microsoft 365 tools, • Learn daily preparation processes for technician dispatch and demonstrate independence in routine tasks, • Build an organized understanding of job‐site requirements, resource coordination, and document workflows, • Respond quickly to calls, emails, and schedule changes while seeking clarification when needed, • Maintain accurate filing, asset tracking, and administrative documentation, • Show strong reliability in opening‐day responsibilities beginning at 7:30 a.m. 5. Long‐Term Plan & Growth Objectives • Independently manage daily scheduling, resource coordination, and documentation workflows, • Strengthen communication efficiency with technicians, management, vendors, and clients, • Improve accuracy and speed of receipt verification, reporting, and document preparation, • Develop a proactive system for identifying needs before field crews request them, • Enhance organizational infrastructure through improved filing, supply management, and office process consistency, • Become a dependable operational support point across departments 6. Weekly & Monthly Deliverables Plan 6.1 Daily & Weekly Deliverables (Ongoing) • Daily: Prepare technicians for dispatch by 7:30 a.m., • Daily: Confirm all job‐site requirements (materials, vehicles, tools, documentation, contacts), • Daily: Monitor phone and email channels; route communications appropriately, • Daily: Track assets, verify receipts, and maintain organized documentation, • Weekly: Confirm schedules for all service calls and projects, • Weekly: Support preparation of reports, memos, and operational documentation, • Weekly: Review inventory for materials and office supplies 6.2 Monthly Deliverables & Review • Monthly review with Supervisor regarding scheduling accuracy, communication, and document quality, • Monthly assessment of asset tracking and inventory coordination, • Submit measurable process‐improvement recommendations related to scheduling, documentation, or office organization, • Evaluate workload patterns and provide recommendations for efficiency enhancements 7. Work Expectations & Availability • Must proactively ask clarifying questions when requirements or instructions are unclear, • Must maintain professional communication in all client, technician, and vendor interactions, • Support may occasionally be required outside of regular office hours, • Must demonstrate strong ownership, follow‐up, and task management 8. Qualifications • High school diploma or GED required; Associate degree in Business Administration preferred, • 1–2 years administrative, scheduling, or coordination experience, • Experience in construction, field‐service, or trade‐based environments strongly preferred, • Knowledge of work orders, job scheduling, and field‐technician support is a plus, • Proficiency with Microsoft 365 and communication platforms (Teams, Outlook, Excel), • Strong organizational, multitasking, and documentation accuracy skills, • Excellent communication skills with a customer‐service and solution-focused approach, • Ability to coordinate resources and adjust to shifting priorities, • Comfortable using scheduling tools and office systems, • Strong attention to detail and proactive problem-solving 9. Performance Review & Continuation of Engagement This consulting engagement is performance‐based. Continuation of work, expansion of responsibilities, compensation changes, and any future discretionary immigration support (including work visa sponsorship) are contingent upon sustained performance, measurable deliverables, and business needs.
