Job Description POSITION DESCRIPTION & EXPECTATIONS 1. Job Title & Position Information Job Title: Training & Certifications Specialist Reports To: Ana Espinoza, President Employment Type: Regular Schedule: Monday–Friday, 8:00 a.m.–6:00 p.m., with flexibility as required Compensation: $37,000 - $52,000 2. Position Summary The Training & Certifications Specialist manages all employee training, safety, and certification requirements across the company. This role ensures all personnel maintain the necessary credentials, complete required courses, and remain compliant with client, industry, and regulatory standards. The ideal candidate is highly organized, detail‐driven, and comfortable working with both field and office teams. Knowledge of construction safety, OSHA requirements, and training documentation processes is preferred. This role supports onboarding, compliance tracking, and ongoing development initiatives to ensure readiness across all departments. 2.1 Benefits Paid Time Off (PTO) PTO is accrued every pay period and increases with your tenure at the company. Salaried Employees: • 90 days – 1 year: 10 paid days (2 weeks) + 5 additional unpaid days, • 1 – 5 years: 15 paid days (3 weeks) + 5 additional unpaid days, • 6 – 10 years: 20 paid days (4 weeks) + 5 additional unpaid days, • 90 days – 1 year: 5 paid days (1 week) + 5 additional unpaid days, • 1 – 10 years: 10 paid days (2 weeks) + 5 additional unpaid days Employees receive 7 full paid holidays each year: • New Year’s Day, • Memorial Day, • Independence Day, • Labor Day, • Thanksgiving Day, • Christmas Day, • Christmas Eve (half day), • Health, Dental, and Vision plans available to all eligible employees. 3. Core Responsibilities 3.1 Certification Tracking, Training Coordination & Compliance • Track and maintain employee certifications, licenses, and training records for all departments., • Monitor expiration dates and coordinate timely renewals to prevent compliance gaps., • Assist in scheduling safety, equipment, and compliance training sessions., • Review project requirements to ensure employees meet client‐specific training standards., • Maintain digital and physical training documentation in an organized and compliant manner., • Prepare and update training matrices for all job roles, departments, and project needs., • Coordinate with external training providers, certification agencies, and online platforms., • Communicate with supervisors and employees regarding upcoming training needs, expirations, and requirements., • Assist in developing training materials, safety documentation, and internal guidelines., • Support field teams by tracking job‐specific certifications and ensuring readiness for project mobilization. 4. Short‐Term Expectations (First 30 Days) • Learn current training systems, documentation processes, and company compliance requirements., • Demonstrate accuracy in updating records, tracking expiration dates, and managing documentation., • Begin coordinating training renewals and communicating upcoming expiration deadlines., • Gain understanding of OSHA, client‐required, and project‐specific certification needs., • Establish daily/weekly reporting habits and maintain consistent communication with management. 5. Long‐Term Plan & Growth Objectives • Develop independent ownership of the training and certification program with minimal supervision., • Improve organization, tracking workflows, and documentation accuracy., • Strengthen compliance processes to reduce expired credentials and enhance audit readiness., • Support continuous improvement of safety documentation, onboarding, and training systems., • Assist in implementing or improving training management software or digital tracking tools. 6. Weekly & Monthly Deliverables Plan 6.1 Daily & Weekly Deliverables (Ongoing) • Daily: Update training records, expiration logs, and documentation systems., • Daily: Communicate with supervisors regarding upcoming certification needs., • Weekly: Provide status updates to management on training requirements, renewals, and any risks., • Monthly report on company‐wide compliance status, including expiring certifications and renewal progress., • Monthly update of training matrices across all job roles and departments., • Monthly review of training documentation quality, organization, and required corrective actions., • Monthly proposal for enhancing compliance workflows, tools, or documentation. 7. Work Expectations & Availability • Must ask questions immediately when training requirements, documentation expectations, or instructions are unclear—no assumptions., • Ability to manage time effectively, organize multiple deadlines, and work independently., • Must maintain professionalism and strong communication with field and office personnel., • Additional hours may be required based on project needs or compliance deadlines. 8. Qualifications • High school diploma required; additional education in HR, Safety, or related field preferred., • 1–3 years of experience in training, safety, HR, or administrative roles (construction experience preferred)., • Knowledge of OSHA standards, construction safety requirements, and common industry certifications., • Strong organizational and record‐keeping skills., • Excellent communication and follow‐up abilities., • Proficiency with Microsoft Office, especially Excel., • High attention to detail., • Strong time‐management and multitasking abilities., • Ability to work independently and meet deadlines., • Professional communication with field and office staff., • Problem‐solving mindset. 9. Performance Review & Continuation of Engagement This consulting engagement is performance‐based. Continuation of work, expansion of responsibilities, compensation changes, and any future discretionary immigration support (including work visa sponsorship) are contingent upon sustained performance, measurable deliverables, and business needs.
