Job DescriptionJob Summary Under the direction of the Special Assistant to the President, the Events Coordinator/Facility Support provides leadership and operational assistance in the planning, coordination, and execution of high-quality events and ceremonies that advance university priorities related to faculty, students, alumni, and community partners. This position also provides hands-on facilities and logistical support, ensuring that campus events and daily operations are executed efficiently and with excellence. The incumbent serves as the HSSU representative during events and collaborates with departments and external partners to ensure seamless coordination and service delivery. Essential and Other Required Job FunctionsEvent Coordination and Support • Support the planning, setup, execution, and breakdown of university events., • Provide leadership and direction in all aspects of event production, with a focus on professionalism, customer service, attention to detail, and adherence to university protocol and etiquette., • Ensure appropriate tone, scheduling, and presentation of all event-related materials, including invitations, programs, and correspondence., • Coordinate discussions and decision-making regarding event strategies, opportunities, and potential conflicts., • Collaborate with departments and external partners to oversee program content, logistics, and speaker coordination., • Maintain and apply university standards for event protocol, image projection, and etiquette., • Develop and utilize systems and technology to automate event planning, tracking, and production., • Manage and monitor event budgets, ensuring fiscal accountability for production, technical, and promotional needs., • Conduct post-event assessments and prepare reports analyzing outcomes, identifying improvements, and recommending enhancements., • Work flexible hours, including evenings and weekends, to support events as needed.Campus Moves, • Assist with the relocation and setup of offices, classrooms, and departments., • Move boxes, furniture, and other materials as needed., • Support the disposal or redistribution of university property no longer in use.General Housekeeping and Facility Support, • Maintain cleanliness and order in storage areas, mechanical rooms, and event spaces., • Perform trash collection from buildings and grounds as needed., • Ensure support areas remain organized, safe, and operational.Snow Removal, • Participate in campus snow removal operations, including shoveling, blowing, or plowing snow from walkways and driveways., • Apply salt or de-icing materials to prevent slipping hazards., • Be available on an on-call basis for snow removal duties during inclement weather.Customer Service, • Provide prompt, courteous, and professional assistance to students, faculty, staff, guests, and vendors., • Communicate effectively with internal clients and external partners to coordinate maintenance and event support services.Time Management and Administrative Support, • Participate in scheduling, tracking, and reporting systems to ensure efficiency in event and facility operations., • Demonstrate proficiency in Microsoft Office (Outlook, Excel, Word) and related administrative tools.Minimum Education and Experience • Bachelor’s degree in Management, Business, Marketing, Public Relations, or a related field., • 2–4 years of professional experience, including at least one year in event coordination or planning., • Excellent communication skills, including writing, proofreading, and speaking., • Strong organizational, time management, and interpersonal skills., • Demonstrated ability to coordinate large-scale and small events for diverse audiences., • Experience working in a higher education or nonprofit environment., • 2–3 years of professional event planning experience (corporate or university)., • Experience managing budgets and negotiating event contracts., • Familiarity with higher education environments and understanding of Harris-Stowe’s mission and culture preferred., • Ability to manage multiple projects and meet deadlines under pressure., • Strong problem-solving, decision-making, and customer service skills., • Excellent interpersonal and written communication abilities., • Ability to maintain professionalism and composure in a fast-paced environment. • Communication and Interpersonal Skills, • Customer and Service Focus, • Collaboration and Teamwork, • Organization and Time Management, • Professionalism and Accountability, • Problem Solving and Decision-Making, • Technical and Operational Proficiency, • Adaptability and Initiative • Excellence: Commitment to the highest standards of quality in teaching, learning, service, and scholarship., • Integrity: Acting with honesty, fairness, and transparency in all actions., • Respect: Fostering an inclusive environment that values the dignity and contributions of every individual., • Service: Meeting the needs of students, colleagues, and the community with professionalism and care., • Must be able to operate a motor vehicle., • Must be able to exert up to 10 pounds of force occasionally and/or a negligible amount of force constantly., • Requires standing and walking for extended periods., • Work is typically performed indoors in an office or event setting, with occasional outdoor activity.
