Job Description Position Summary Responsible for providing superior customer service, administrative support, and sales in all aspects of the Medical Spa. This role plays a pivotal part in ensuring a seamless patient experience, maximizing lead conversion, and driving overall spa performance. Key Responsibilities Patient Experience & Support • Anticipate, identify, and ensure patient needs are met in a friendly, professional, and proactive manner, • Check clients in and out efficiently using the spa software system, • Maintain a polished and professional image and environment, ensuring all areas of the spa are clean and welcoming, • Provide accurate, appropriate, and timely responses to patient requests and concerns, • Manage all incoming leads from phone calls, online form submissions, and walk-ins, ensuring timely follow-up and conversion to consultation scheduling, • Track lead sources and follow a consistent lead management process to maximize new patient bookings, • Provide thorough, knowledgeable explanations of services and product offerings to drive sales and optimize appointment schedules, • Conduct tours and consultations with potential patients to highlight services and products with the goal of securing bookings, • Maintain a pipeline of prospective patients and communicate updates with management and the treatment team, • Actively participate in sales initiatives, promotions, and membership drives to grow patient loyalty and revenue, • Schedule and confirm appointments according to spa protocols to ensure smooth workflow, • Perform sales transactions and daily cash-outs following company protocols to ensure accuracy, • Open and close the spa according to standard operating procedures, • Maintain appropriate communication with management, staff, and clients to ensure coordinated efforts and high-quality service, • Participate in staff meetings, planned events, and educational trainings as scheduled, • Meet established monthly targets for new patient bookings, consultations scheduled, and lead follow-up conversion, • Track and report retail product sales and membership enrollments, • Identify opportunities to improve sales performance and provide suggestions to management for improvement, • Collaborate with the team to ensure scheduling allows for consultations and optimal utilization of providers, • Maintain expertise in medical spa services and product lines, • Identify opportunities to improve patient experience and spa performance, • High School Diploma required; Associate’s degree preferred, • 1+ year experience in a spa, salon, or medical spa environment with a strong focus on sales, • Proficient in Microsoft Office (Outlook, Excel, Word), • Experience with Spa/EMR systems preferred, • Medical Insurance, • Dental Insurance, • Vision Insurance, • FSA- Flexible Spending Account, • HSA – Health Savings Account, • Life Insurance – Employer paid- 1.5x annual pay, • Paid Family Leave, • 3-Weeks Paid Vacation annually, • 401k Safe Harbor Plan (after 60 days), • 10 paid Holidays, • Employee Discounts, • Work Anniversary Milestones- Employee Bonus -1 year/5 year/15 year/20 year/25 year Note: All duties and responsibilities stated are essential job functions.
