(ON-SITE - In-Person Position) Summary Performs a variety of specialized technical, clerical, and administrative support duties for the Director of Public Safety at the college site such as, but not limited to, obtaining data in support of adherence to state and federal mandated compliance. Interacts with allied law enforcement agencies and provides support when requested. Assists with district-wide Public Safety systems and provides data entry and systems compliance. Coordinates and performs administrative projects, workflow, and support activities for the Director of Public Safety as directed. Distinguishing Career Features The Public Safety Operations Coordinator represents an administrative position with specialized experience and training in law enforcement, Public Safety data systems, and supports the Director of Public Safety with complex and unique compliance research. They must possess the ability to organize work, information flow, and perform duties in support of the Director of Public Safety including, but not limited to, solve data disputes and train other public safety staff members on policies and procedures, and provide professional level support for the Director of Public Safety in confidential and sensitive matters. The work performed requires application of departmental procedures and state and federal compliance mandates. Essential Duties and Responsibilities Specific duties may vary among departments, divisions and jobs. Incumbents typically perform a substantial portion or all of the following types of duties, as assigned: 1. Assists with the review and filing of reports, processing security records, managing department communications, and ensuring efficient office operations., 2. Provides administrative support to the Director of Public Safety to gather and analyze data related to various state and federally mandated reporting. This includes compiling information for annual safety reports, maintaining logs of criminal activity, and communicating with others as appropriate to ensure compliance with reporting requirements., 3. Coordinates the development, delivery, and tracking of trainings for college Public Safety personnel and provides administrative support to the Director of Public Safety with documentation in systems as assigned. Lexipol (Public Safety Protocol Manual)., 4. Provides administrative support to the Director of Public Safety, including but not limited to the development and revision of department protocols and procedures, compiling and responding to public information requests, and the preparation and revision of various administrative reports, as required. Audits procedures in response to reports of non-compliance as assigned., 5. Supports the Director of Public Safety in updating and maintaining compliance protocols, procedures, reports, and program documentation. Provides assistance to the other two college Public Safety Directors as directed., 6. Assists in gathering requisite data, including to local law enforcement agencies, for formulation of publication and distribution of the CCCD Annual Security and Fire Safety report to college students and staff., 7. Coordinates updates for Human Resources, Admissions and Records, and other appropriate department websites for potential students and employees. Posts reports on college web portal and distributes notification of the report's availability., 8. Maintains, updates, and trains the college's approved and identified Campus Safety Authorities (CSAs). Creates and distributes communications to CSAs related to required trainings, updating and maintenance of CSAs' certifications and any additional information necessary to ensure CSAs are up-to-date and aware of process and/or procedural changes., 9. Responsible for providing functional oversight and work direction to student and/or hourly support staff, as assigned, including such activities as the assignment of tasks and duties, distribution of work, training, scheduling, and checking on work performed in collaboration., 10. Assists with identifying all college programs and activities that require crime statistics. Provides administrative support to the Director of Public Safety in ensuring Jeanne Clery Act and Kirsten Smart Campus Safety Act of 1998 compliance and requirements including, but not limited to, written communications to law enforcement agencies identified in this process., 11. May assist the Director of Public Safety in drafting preliminary patrol schedules within established protocols, including facilitating communications in order to staff absences on behalf of the Director., 12. Provides technical support and coordinates updates/revisions to a variety of technical systems (including but not limited to parking controls, surveillance, and building access controls) currently utilized by the Public Safety Department. Handles parking violations appeals., 13. Serve as a liaison and representative of the Public Safety organization as designated by the Director of Public Safety for a variety of local law enforcement and emergency management organizations., 14. Provides administrative support for the Public Safety Office in creating, updating, maintaining and editing purchase orders, requisitions, payroll timecards and/or data, electronic personnel action forms (ePAFs), etc. as needed., 15. Collects crime data from various external sources including local law enforcement agencies., 16. Retrieves, interprets, and disseminates information from databases and other sources. Distributes and receives reports of investigative details to/from other law enforcement entities., 17. Provides a high-level of customer service. Receives walk-in guests and telephone inquiries from a variety of individuals. Initiates and receives telephone calls, provides information and resolves matters, or routes calls., 18. Interacts with public safety officers by telephone, radio, and in person to obtain or provide information. Responds to special requests by officers attempting to obtain information by accessing law enforcement databases and manual files to locate information., 19. Receives and sends urgent messages from and to various agencies. Takes appropriate action or notifies appropriate person based on message received., 20. Performs duties of Public Safety Officer when needed., 21. Performs other related duties as assigned that support the objective of the position., 22. Required to abide by all District policies and procedures including Board Policy 3050 - Code of Professional Ethics. Qualifications Knowledge and Skills 1. The position requires knowledge of the local, state, and federal ordinances, statutes, laws, general orders, policies and procedures related to processing, storage, and retrieval of records and documents used in law enforcement., 2. Requires knowledge of law enforcement codes, policies, and practices related to record keeping., 3. Requires basic knowledge of general municipal court procedures and processes., 4. Requires a working knowledge of office practices, procedures and equipment, including filing systems, receptionist and telephone techniques, and letter and report writing., 5. Requires business mathematics skills to compute sums and statistics., 6. Must be skilled in using and troubleshooting various standard office machines., 7. Requires skill using the English language, grammar, and spelling, punctuation, proofreading/editing, to prepare professional correspondence., 8. Requires sufficient human relations skills to present a positive image of the department, convey technical information to others, and use patience and sensitivity in dealing with a diverse population. Requires the ability to use a personal computer to produce correspondence and reports, and type/keyboard accurately., 8. Requires the ability to maintain confidentiality of private and sensitive information., 9. Requires the ability to work varying shifts., 10. Requires the ability to work as contributing member of a team, work productively and cooperatively with other teams and external customers, and convey a positive image of the college community and the Public Safety Department. Requires current First Aid and CPR cards and additional certification to access law enforcement databases within a reasonable time. POST Basic Academy may substitute for PC 832.
